AW Health Care is currently seeking a full time Administrative Assistant/Staffing Assistant to support Home Care Services in St Charles and Lincoln County , Missouri.

Job Summary:

The Private Duty Administrative/Staffing Assistant ensures accuracy and timeliness of all documentation of services and supports the Staffing Coordinator in ensuring that all clients are serviced in an accurate, conscientious & timely manner. The Private Duty Administrative/Staffing Assistant will be the primary person to ensure that staff are paid correctly and ultimately that we are able to bill accurately and timely for our services, all the while, maintaining a high level of customer satisfaction from both the client as well as the staff.

Responsibilities:

• Ensure the timely and accurate entry of all payroll & billing data.
• Ensure the timely and accurate entry and/or filling of all necessary information into the client electronic or physical chart in support of the payroll & billing process.
• Answer phone calls from field staff and patients: appropriately handle or refer the call and document follow-up, and/or resolution of the situation. Responding promptly and courteously to all patient/client inquiries or problems.
• Enter inquiries and/or new client’s into the computer system to ensure the organization’s ability to bill timely and accurately, including orders for services and authorization for same.
• Set up client charts and ensure all necessary information is in the chart, including, but not limited to:
• A Client Information folder with: Copy of the signed contract for services & authorizations for same; Copy of any third party payer requirements and/or authorization of services; Evaluation/Assessment of the Client; Care plan established for & with the client; A Notes folder where shift reports & timesheets are filed; A Nursing folder where re-assessments and other case management information is kept.
• Monitor authorizations weekly and ensure we are not exceeding the authorized hours without a signed agreement from the client or their payer source and work proactively with the Program Coordinator to take the necessary steps to keep us compliant with the authorizations and/or the care plan.
• Review and prepare the billing information in accordance with the billing sequence determined by the payer and/or the chart: Payer Frequency; JFCS Bi-Monthly; VCC, VHC, AVCC (based on authorized hours/month) Monthly; All others, based on service dates Monthly; Final Bills Upon Termination of Services. Including all required documentation for the services required by the payer. Document all billing for services in the system and/or in the chart as well.
• Assist the Staffing Coordinator with any or all of the following: Staffing un-assigned visits/shifts; Assisting with any call offs; Sending Schedules to clients or employees; Contacting caregivers and/or clients to ensure their needs are being met; Document all communications with clients and/or caregivers by utilizing the notes within the system.
• Support the Program Coordinator and/or the Human Resource Specialist in on-boarding new caregivers and orienting them on their departmental expectations.
• Participate in the weekly Staffing On-Call schedule.
• Ensure accurate opening packets are available with an adequate supply for each week.
• Participate in routine department meetings, as requested by the Program Coordinator.
• Maintain confidentiality of all information in accordance with state/federal regulations, company policy and HIPPA requirements.
• All other duties as assigned.

Requirements:

Qualifications:

• Experience in healthcare staffing and/or payroll and administrative tasks.
• Average to Advanced computer skills, including word processing and data entry.
• Must be a pro-active self-starter and able to work with minimal supervision.
• Must be a team player dedicated to providing a high level of customer service, with a positive attitude.
• Must be able to communicate effectively and possess well developed interpersonal, organizational, and problem solving skills.
• Ability to effectively interact with all employees, clients and referral sources.
• Ability to be well organized and prioritize effectively.
