JOB SUMMARY

The College of Liberal Arts & Sciences seeks applicants for a full-time position as an Educational Program Assistant 2 for the Department of Communication. Under the direction of the Educational Program Administrator, the incumbent will provide programmatic and administrative support to the Department, including purchasing and accounts payable, personnel actions, fiscal account review and transactions, and graduate admissions. The incumbent is expected to work independently, within the defined guidelines established by the program and the supervisor.

DUTIES AND RESPONSIBILITIES

1. Provides day-to-day operational and administrative support for the Department and acts as the primary point of contact for students, faculty, staff, and others affiliated with the University. Coordinates communication between the Department and other campus units in academic and fiscal matters.
2. Processes departmental purchases through online fiscal systems and coordinates with vendors as needed, including the purchasing of research equipment and services, supplies and other inventory, memberships, and subscriptions.
3. Serves as a resource for faculty and graduate students on travel and reimbursement policies and procedures. Processes travel and non-travel reimbursements and other related fiscal documents.
4. Provides administrative support to the Department’s Director of Graduate Studies in the coordination of graduate admissions functions. Responds to inquiries, disseminates information, and promotes the Department’s graduate programs. Maintains status of applicants in the graduate application system, and communicates with applicants about their status.
5. Maintains department workspaces, including shared spaces, and oversees asset inventory. Submits facilities and equipment maintenance requests and manages surplus.
6. Provides technical support and program logistics for program faculty, staff, students, and external stakeholders.
7. Coordinates, plans, and executes activities, programs, and events conducted by the Department.
8. Assists with course scheduling and room assignments within the University’s registration system as well as departmental room reservation calendar.
9. Helps to maintain the departmental website and social media accounts.
10. Researches and assembles data for budget planning and monitoring.
11. Oversees and directs temporary (student labor/special payroll) employees and the associated SmartHR Transaction and time card processing for the Department.
12. Performs other related duties as assigned.

MINIMUM QUALIFICATIONS

• Bachelor’s degree in relevant field.
• Two to three years of experience in a responsible administrative support position which demonstrates knowledge of administrative methods.
• Experience working independently and as part of a team regarding administrative and program support details and procedures.
• Demonstrated experience independently prioritizing and executing multiple deadline-driven projects.
• Strong technical skills including MS Office Applications and ability to learn new software and systems.
• Excellent organizational and problem-solving skills; exceptional attention to detail.
• Excellent writing and communication skills.

PREFERRED QUALIFICATIONS

• Experience working in a higher education setting.
• Familiarity with communication as an academic discipline.
• Ability to engage, connect, and work with diverse student, administrative, and faculty populations and provide a commitment to the values of diversity, equity, and inclusion in an educational setting.
• Experience with online student record or admissions systems.
• Experience with online personnel records and recruiting systems.
