Work Schedule:
The Campus Safety Office is a 24-hour a day, 7-days-a-week operation. While this position is primarily Mon-Fri during university business hours, some flexibility in schedule should be expected.
Basic Function:
As an Administrative Assistant II in the Office of Campus Safety, you will be on a small team with big responsibilities. This position administrative support for the staff responsible for the safety of our campus. To thrive in this position, you will help make our community feel safe, supported, and treated equitably.
Essential Job Functions:
Job Summary
Performs a variety of skilled administrative functions. Schedules appointments and provides information to the University and to the public. Composes memos, creates presentations, generates reports, and handles multiple projects. Prepares and monitors invoices and expense reports and processes budget transfers, journal entries, and deposits. Completes assigned duties related to program support and continuity.
Essential Job Functions
Maintains and processes budget requests, budget transfers, journal entries, and deposits. Prepares requisitions and requests for payments. Processes invoices and orders supplies utilizing the E-Procurement system. Schedules and attends meetings. Composes memos, transcribes notes, and creates presentations. Provides program support including coordinating, planning, and implementation of services. Monitors training and event attendance and generate reports.
Performs data entry and creates documents. Organizes, prepares, and distributes required weekly, monthly, and annual reports. Schedules use of university fleet and manages fleet maintenance. Oversees the work of student employees. Assists in managing the front desk. Responds to phone calls, emails, and visitors. Provides administrative oversight for university parking program. Creates and maintains files and correspondence. Assists with community engagement events. Performs other duties as assigned.
SUPERVISION EXERCISED
Supervises student workers/volunteers/interns: May recommend hiring disciplinary action, staffing assignments, and scheduling.
Minimum Qualifications:
High school graduate or equivalent. 1-3 years of experience in general administrative work. Must have a valid Ohio driver’s license and be insurable through the University. Must be motivated by working with students and willing to participate in community engagement events occasionally outside of regular business hours. Excellent communication skills, both written and oral. Excellent technical, computer, and writing skills. Analytical and critical thinking skills, project/program/service management skills. The ideal candidate must be able to work independently and be self-motivated.
Preferred Qualifications:
Bachelor’s degree in Business Administration/Office Support. Relevant experience can be substituted for education. 4-7 years of experience in general administrative work. Fiscal experience including managing and planning budgets, purchasing, paying invoices, monitoring/tracking expenses.
