Position Summary
Columbia University recently combined its Title IX, Gender-Based Misconduct, Office of Equal Opportunity and Affirmative Action (EOAA), and Office of the Protection of Minors teams into one centralized office. This new office will focus on advancing the University’s efforts in all of these areas. To oversee this combined unit, we are seeking a Director of Operations who will be responsible for providing leadership and strategic direction on administrative, operational, and programmatic confidential matters. Additionally, they will manage a number of processes aligned with the overall strategic priorities of this new department. The incumbent will ensure the student disciplinary records database is kept in accordance with the Family Educational Rights and Privacy Act and will coordinate the receipt of reports across each practice area and externally. The Director of Operations will also oversee the budget, financial planning, and Human Resources functions.
The Director of Operations reports to the Vice Provost for Equal Opportunity and Affirmative Action, who is responsible for the oversight of this new office.
Responsibilities
* Manage the Department’s hearing schedule related to Title IX, Gender-Based Misconduct (GMB) and EOAA. Responsible for drafting and disseminating official hearing communications.
* Manage the student disciplinary records database in accordance with the Family Educational Rights and Privacy Act (FERPA) and produce and analyze conduct and other related statistics.
* Triage and respond to sensitive and confidential inquiries from faculty, administrators, students, and family members regarding various university protocols, procedures, and resources.
* Play a key role in the review and editing of the department’s various websites and educational documents pertaining to University policies and procedures, including the annual reports. Make recommendations to certify that these items are kept up to date.
* At the request of the Vice Provost for Equal Opportunity and Affirmative Action provide statistical reports and analyze case trends to allow for informed decision-making and policy recommendation.
* Serve as a liaison to the Department of Public Safety, the University’s Registrar, and Columbia Residential and Campus Services. Manage campus access requests for investigations including CU’s Student Information System, building security, and housing assignment systems.
* Works closely with staff to ensure all procurement, budget planning, and payments are completed in a timely manner. Works with outside vendors and internal campus partners to meet the needs of the department.
* In collaboration with team members, manages outreach initiatives including editing and maintaining digital and print materials that support the department.
* Manage financial operations, including budget projections, modeling, variance analyses, and oversight of all financial reporting and compliance reports. Remain abreast of changes to financial systems and processes centrally and implement changes where required. Maintain close collaboration with finance colleagues within the Office of the Provost.
* Identify opportunities for process improvement and create policies and procedures to streamline services using all finance information systems at the University.
* Develop and maintain standard operating procedures for managing the department’s physical spaces and I.T. infrastructure. Continuously evaluate best practices to ensure efficient operations for timely maintenance requests, assignments, space planning, room key & building card access, and acquiring I.T. resources.
* Partner with the Human Resource function in the Office of the Provost to manage and enhance a comprehensive HR program for the department. Develop recruitment strategies, draft position descriptions, and manage employee relations issues in accordance with applicable CUHR, Local, and State employment law regulations and University policies.
* Support the onboarding and training of new employees. Oversee the department’s facilitation of annual performance reviews.
