Department Summary:
The University of North Texas (UNT) is a Carnegie R1 research university and a federally designated Hispanic-Serving Institution and Minority-Serving Institution, with a diverse population of over 40,000 students. UNT is located in Denton, a cultural hot spot on the northern edge of the Dallas-Fort Worth Metroplex, one of the fastest growing metropolitan areas in the country. The UNT Chemistry Department serves this diverse population of students through both undergraduate degrees (B.S., B.A.) and advanced degrees (M.S. and Ph.D.). Over 4000 undergraduates enroll in our large General Chemistry and Organic Chemistry lab and lecture courses each year. Our graduate program, currently with over 100 students, is focused on training the next generation of scientists in research. Our research-active faculty members pursue research in diverse areas ranging from materials chemistry to medicinal chemistry, with 80% of them receiving external financial support for their research through grants and contracts. Position Overview:
Assist the Department Chair in carrying out the necessary operations of the department in the areas of staffing and payroll, enrollment, and course planning/scheduling
Minimum Qualifications:
Bachelor’s Degree and three years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities:

• Advanced Microsoft Office skills.
• Knowledge of accounting/budgeting procedures.
• Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Ability to conceptualize, plan and organize multiple programs and assignments effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• Skill in developing and maintaining good working relationships.
• Knowledge of policies, practices, procedures and terminology of assigned function.
Preferred Qualifications:
* 5 years of progressively responsible office administration experience
* Experience with payroll and personnel management
* Knowledge of academic procedures and policies in higher education

Responsible for financial tasks related to wages for faculty, staff, and part-time instructors, in including student teaching assistants. Includes preparing budgets, monitoring expenses, working with the College to redistribute funds as needed, maintaining staff employment records, and preparing reports when requested
o:
Submit payroll actions (ePARs) for staff, faculty, and graduate Teaching Assistants (TAs/GSA) by the COS and university-required deadlines each academic term; includes hires, terminations, reclassifications, and grant-funded faculty summer pay
o:
Timekeeper for Chemistry Department. Assist staff and faculty with timesheet entries and eLeave requests. Route FMLA and sick leave pool paperwork when requested.
o:
Assist departmental Research Analyst on matters related to grant-funded student Research Assistant payroll
o:
When needed, serve as departmental liaison with Risk Management for Workers Comp; ensure paperwork is completed and submitted in a timely manner when there is an injury.
o:
Serve as departmental liaison to UNT International for Visa and Permanent Resident applications for full-time faculty and staff . Coordinate paperwork, approvals, and immigration requirements for Visiting Scholars in the Chemistry Department
o:
Submit job postings for hourly instructional positions and student assistantships; fill positions and complete needed paperwork and procedures
o:
Work with the Department Chair to create the schedule of classes by the Registrar’s deadline each academic term, from first edits to final print. Add/cancel classes, assign rooms and times, plan classroom capacities based on enrollment projections
o:
Work with the Undergraduate Affairs Committee to submit changes and additions to the undergraduate chemistry curriculum using the Curriculog system. Ensure that new courses and pre-requisites are incorporated into the class schedule
o:
Responsible for scheduling meetings and other non-class departmental events in classrooms (in Chemistry or other buildings) in the Astra system
o:
Monitor enrollments and waitlists in Chemistry courses. Use PERQ system to verify prerequisites for enrolled students prior to the start of classes
o:
Assist students with enrollment needs, including finding open sections, pre-requisite override requests, and departmental special permission requests
o:
As needed, provide assistance and/or training to Student & Program Coordinator in matters related to graduate student enrollment and payroll
o:
Monitor departmental scholarship accounts used for student awards. Work with Chair and Scholarship Committees (UAC, GAC) to determine amounts of awards, route needed documents to SFAS to arrange scholarship payments to students
o:
Serve as departmental expert on university policies and procedures related to enrollment and academic needs; interpret for faculty and students as needed
o:
Serve as Chemistry liaison with Human Resources, the Registrar, Academic Resources (Provost’s office), and CLEAR, to address departmental needs
o:
Lead staff member for collection and submission of data for the required annual Space Survey. Gather accurate data on instructional usage of spaces, and work with Research Analyst to gather data on research usage
o:
Assist with departmental events and summer programs, such as REU, as needed
