Administrative Assistant Job Description
We are looking for an on-site Administrative Assistant & Board Liaison responsible for confidential administrative support to the President/CFO and Board of Directors.
A successful Administrative Assistant will demonstrate exceptional attention to detail, high-level organizational skills, a calm presence, and a can-do attitude in a high-paced organization. In this role you will need to work well in a team environment, be able to represent the President and Board of Directors with professional courtesy and acumen, and deliver high quality work output. Responsibilities include the organization, prioritization and coordination of a high volume of work including confidential information. Additionally, providing exceptional customer service to internal teams and visitors, creating, typing, editing, and proofreading various documents, creating and maintaining electronic filing systems; scheduling meetings and arranging travel, preparing the conference room for meetings, entering data from various sources into reports and/or presentations, and managing workload required to complete projects will be required.
QUALIFICATIONS:
● Bachelor’s degree or 2+ years in an administrative assistant position, or equivalent experience
● Demonstrates confidence, composure and professionalism
● Advanced problem-solving skills, with an aptitude for identifying potential process improvements
● Ability to effectively manage multiple projects, meet deadlines and reprioritize as needed; follows through on commitments
● Ability to communicate effectively at multiple levels of the organization, both verbally and in writing, with attention to detail
● Ability to work independently, as part of a team and as a peer leader
● Exceptional organizational skills, both electronic and physical
● Ability to deliver consistently high quality and professional customer service to both internal and external customers
● Advanced proficiency in Google Suite and Microsoft Office Suite
● Familiarity with SmartSheet is preferred
● Ability to handle and protect confidential and sensitive information
● Ability to exercise sound judgment
● Ability to move from task to task with little or no direction
● Ability to perform successfully in a fast paced, dynamic environments
RESPONSIBILITIES:
● Responsible for confidential administrative support to the President/CFO, Board Chair,
Board Committee Chairs, and Shareholders
● Maintain confidentiality of sensitive information encountered during job tasks including but not limited to: reports, meetings, minutes, conversations and correspondence
● Complete various administrative activities, including but not limited to:
● Escorts visitors/guests within the office as needed for meetings
● Works as a team member with other support staff to ensure consistency of operations and alignment with company goals and strategies
● When needed, travel with the President to regional events
● Support on-site or off-site marketing or community events which may occasionally be outside of normal business hours
Job Type: Full-time
Pay: $25.00 – $30.00 per hour
