We are looking for an experienced and skilled Accounts Payable Specialist to join our corporate team!

Summary

An Accounts Payable Specialist is responsible for the financial processing of transactions for an organization. Their duties include daily bookkeeping and record keeping, financial reporting and the preparation of tax records for financial audits. Accounts Payable Specialists assist companies with invoicing and billing and multi entity bank reconciliation. Key duties and responsibilities of an Accounts Payable Specialist include:

Role and Responsibilities

• Managing accounts payable using accounting software and other programs
• Ensuring bills and payroll are paid in a timely and accurate manner while adhering to departmental procedures
• Processing due invoices for payments and/or accrual into General Ledger
• Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling books of accounts and GL account assignments
• Audit invoices prior to processing for payment making sure it is accurate and approved
• Monthly review of A/P Age Report
• Timely release of manual A/P checks
• Work with the Risk and the Legal department in order to properly estimate the IBNR’s
• Account Payable, understanding the process of bill approvals, bill payments on time,
• Understanding of chart of accounts with accurate GL assignments, processing of AP checks via QuickBooks using the QB AP systems, understanding the accruals and prepayments concept.
• GL account Reconciliation schedule for possible annual review
• Analyze invoices and expense reports, resolve accounting discrepancies, and charge expenses to accounts.
• Handling accounts payable for separate entities and vendors
• Establishing and maintaining relationships with new and existing vendors
• Ensuring bills are paid in a timely and accurate manner while adhering to department procedures
• Other general accounting tasks and projects as assigned

Qualifications

• QuickBooks is a must
• Data Entry for multiple entities
• Experience in fast pace and high volume
• Detail Oriented
• Communication Skills
• Microsoft Excel
• Accuracy, attention to detail
• At least 2 years’ experience.
• Excellent understanding of accounting rules and procedures including the Generally Accepted Accounting Principles (GAAP)
• Degree in accounting preferred, new graduates welcome
