Position is 100% remote with required traveling to several sites.
The Payroll Manager will oversee and supervise Windigo’s payroll functions for over 1,000 employees, ensuring pay is processed on time, accurately, and in compliance with government regulations. This position will ensure our payroll is processed in accordance with our union contracts at multiple distribution centers. This position will collaborate and work closely with our payroll provider, ADP, and Human Resources to ensures accuracy of payroll expense for the organization. The payroll manager reports to the Finance Director while maintaining a close work relationship with the Human Resources department.
Duties and Responsibilities
Implements, maintains, and reviews payroll processing to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
Ensures our weekly payroll is processed in accordance with our union contracts.
Prepares and maintains accurate records and reports of payroll transactions.
Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
Company payroll liaison with our payroll provider, ADP, and ensures we follow documented payroll processes.
Responsible for maintenance of organization’s GL in ADP.
Manage organization’s tax reporting to ensure accuracy.
Review and oversight organization’s invoice and bank statements.
Implementation and oversight of Pay Card payroll process.
Company liaison expert on our Kronos timeclock systems to manage and update contract rules and maintaining pay rules.
Leads and develops Kronos training tools for our operations management staff to ensure consistent processes are followed.
Reviews and approves all Kronos pay codes are set up and applied in accordance with our union contracts.
Supervisory Responsibilities:
Recruits, interviews, hires, and trains new staff in the department.
Oversees the daily workflow of the payroll department.
Provides constructive and timely performance evaluations.
Maintains, reviews and approves current and accurate SOP documentation of payroll processes.
Identifies and recommends updates to payroll timeclock system, ADP software, and procedures.
Facilitates audits by providing records and documentation to auditors.
Performs other duties as assigned.
Job Requirements
Relevant Experience, Education, Certification, Knowledge Skills and Abilities
Bachelor’s degree in Accounting, Business Administration, Human Resources, or equivalent work experience.
5-7 years of payroll and accounting related experience required.
2-4 years of experience of Kronos timeclock systems.
2-4 years of experience with ADP Workforce Now.
Preferred experience in processing payroll in a union environment and understanding union CBA.
Superior analytical, organizational and attention to detail skills. Must be able to juggle multiple priorities and acts independently to ensure quality work is completed timely.
Excellent supervisory and leadership skills. Position requires candidate to work collaboratively with DCs and Human Resources and provide regular communication on any obstacles or setbacks.
Excellent interpersonal and customer service skills. Must be able to see the big picture expectations within day-to-day activities.
Excellent oral and written communication skills. Position requires candidate to prepare and provide detailed information on payroll and financial results.
Excellent skills in dealing with fast pace, changing, and challenging situations.
Strong ability for recognizing better and innovative ways to accomplish objectives.
Proven success in influencing behavior without direct authority.
Maintains confidentiality of information and must be able to act independently in a professional manner.
Significant experience with Excel, including advanced features (ie: VLOOKUP, PivotTables)
Knowledge and skill in databases, accounting software systems, and presentations.
Physical Environment
Some travel will be required, this position will need to have presence at Windigo’s facilities in the Denver and Colorado Springs area on a regular basis with potential additional sites in the future.
Most work is performed in a temperature-controlled office environment
Incumbent may sit for long periods of time at desk or computer terminal
Incumbent may use calculators, keyboards, telephone, and other office equipment during normal workday
Stooping, bending, twisting, and reaching may be required in completion of job duties
