Essential Functions
(Job Duties)
ESSENTIAL FUNCTIONS:
Coordinate the donor thank-you letter program for all schools, colleges and
units, including the drafting of letters, periodic updating of messaging, and managing vendor logistics. Draft personalized alumni and donor
correspondence, including congratulatory wishes, condolences, apologies, donor stories and special requests. Coordinate the communications
logistics for time sensitive “In Memory Of” and “In Honor Of” gifts.
Oversee the stewardship and acknowledgment components for the
“First Time Givers” program. Assist with stewardship and acknowledgments for the consecutive givers program and the faculty/staff giving
campaign. Prepare and distribute personal philanthropy statements for alumni councils, boards, etc., as requested. Oversee the ongoing
maintenance plans of donor recognition pieces across campus.
Collaborate with Donor Relations team to prepare, produce and distribute
annual impact reports for endowed and named annual funds. Prepare and distribute ad-hoc impact reports and stewardship pieces as
requested.
Coordinate and oversee the student thank-you letter program to generate and collect a repository of thank-you/appreciation
notes that can be used to steward university donors.
Support donor engagement event logistics and provide on-site support for school
and college development staff. Create timelines and support logistics for donor engagement events. Draft and send electronic donor event
invitations and monitor RSVPs. Collect data, draft, and distribute post-event surveys, and summarize event results for internal
review.
Remain current with Donor Relations’ best practices and seek additional educational opportunities to strengthen knowledge
base.
Serve as a point-of-contact for donors, alumni, and campus partners. Provide answers to a wide array of general questions
regarding giving and volunteer opportunities.
Special projects and related duties as assigned.
Qualifications
Education Bachelor’s degree or equivalent professional experience
Graduation from an accredited college or university with
a degree in marketing, business administration, communication, or related field or equivalent combination of education and
experience.
Experience Experienced (minimum 2 years of job-related experience)
Minimum of two years of experience in
development, alumni relations, communications or marketing in a non-profit or higher education setting.
Positive and collaborative
professional philosophy, recognizing that this position is integral to the achievement of the goals and objectives of Development and Alumni
Affairs.
Knowledge, Skills and Abilities
COMMUNICATIONS SKILLS: Ability to communicate clearly, concisely and professionally
both orally and in writing. Strong interpersonal skills are a must. Ability to work successfully with persons from diverse
backgrounds.
PLANNING AND ORGANIZATION: Ability to manage several projects simultaneously, prioritize and plan work activities while
meeting respective deadlines. Strong organizational and time-management skills required. Demonstrated ability to manage and execute multiple
creative projects in various media, often at the same time. Ability to handle multiple tasks simultaneously in a deadline-oriented
environment.
ANALYTICAL AND PRESENTATION SKILLS: Ability to evaluate, interpret, and present complex information effectively in
professionally prepared documents or presentations. Must possess a demonstrated attention to detail in order to achieve a high degree of
accuracy.
TECHNICAL SKILLS: Proficient in the use of complex administrative systems software, preferrably in the higher education
environment. Proficient with Microsoft Office suite, especially Word, Excel and Teams; Adobe Acrobat; email platforms like Delivra, Constant
Contact or MailChimp.
LEARNING AGILITY: Independent and innovative self-starter who displays an ability to learn quickly and easily
adapts to changing situations. Experience researching topics to gain knowledge and understanding when information gaps exist.
TEAMWORK: Ability to collaborate effectively with colleagues within the division and other units to gain full understanding of the
project and desired outcome; ability to produce high quality and consistent results with assistance of team members; provide support to
teammates when tackling complex projects.
