Essential duties and responsibilities
Act as liaison between office and field supervisors
Answer phone calls
Maintain office electronic filing system
Keep track of when recurrent reports are due and meetings and scheduled.
Oversee/process day-to-day administrative items; mail, overnight mail packages, expense reports, checks, printing, etc.
Assist sales with preparation for customer meetings.
Maintain calendars with vacation dates, schedule/confirm meeting dates.
Photocopying, filing, and sending packages.
Follow-up/obtain signed subcontracts and change orders.
Manage office equipment maintenance.
Manage office supplies.
Assist PM staff with project startup documentation and closeouts.
Monthly report updates.
Advanced duties and responsibilities.
Building plan and site plan permit submissions and tracking.
VDOT permit applications and permit acquisitions.
County, city and VDOT bond releases.
Website management.
Accounting filing.
Marketing.
Applicant requirements
3 -5 years of relevant experience and/or training, or equivalent combination of education and experience.
Prefer college bachelor’s degree
Ability to work independently on assigned tasks as well as to accept direction on given assignments.
Able to work with staff.
Must have knowledge and experience with Microsoft Office Suite with a particular knowledge of Ecel, Word and Outlook.
Excellent writing and communications skills.
