Acts as first point of contact for internal and external HR inquires from a variety of communication channels. Answers questions and completes requests directly or escalates to others as appropriate.
Manages weekly HR Team meetings and monthly calls with community Business Office Managers and members of the Support Office, including scheduling meetings, booking conference rooms, preparing agendas, taking notes, and ensuring technology is working prior to meeting times.
Oversees support of LMS system committee team and participates in long-term LMS strategic goal planning and process improvement efforts in partnership with HR team, community training leaders, and Organizational Director of Health Care. This support includes monitoring questions/requests in order to answer questions and complete requests directly or escalate as appropriate, and updating existing training content as required by compliance or as determined by Vista Prairie Communities.
Enters, reviews, and/or approves a variety of employee changes submitted in UKG (formerly UltiPro) HCM system, ensuring accuracy and attention to detail with all entries while meeting strict deadlines. Provides additional support to HR team and community staff related to UKG processes/requests.
Tracks various employee and community licensure, including nursing licensure/certification, Assisted Living Director Licensure, as well as requirements for monthly Bus Driver trainings. Files new hires’ and current employees’ licensure/certifications and renewals, and enters licensure/certification details into employees’ UKG records.
Files some employee paperwork into electronic (UKG) personnel files, and audits existing files added by community employees on an ongoing basis to ensure accuracy and standardization.
Organizes electronic I-9 files, including filing terminated employees’ I-9’s, removing terminated employees’ I-9’s according to retention laws, and auditing existing I-9’s for accuracy/standardization.
Responds to requests for verifications of employment for former or current employees via phone, email, or fax, ensuring proper authorization and confidentiality of information being released.
Runs reports in UKG system as needed to complete tasks and as requested by Support Office and community leaders. Assists HR Program Manager with ongoing administration of existing reports, including updating distribution lists and schedules for automated reports.
Supports the administration of various additional Vista Prairie Communities’ programs, including incentive and recognition programs such as anniversaries/bonuses and uniform ordering.
Participates in the completion of ongoing surveys requested externally, either required by HR/Vista Prairie Communities compliance or voluntarily as circumstances warrant.
Assists with various HR tasks and projects as needed and assigned.

1 – 3 years: Entry-level HR experience
