INTRODUCTION:
Travel Administrator-Financial Specialist
The Travel Administrator-Financial Specialist reports to the Director of Accounting Services. Main duties include the administration and compliance of all aspects of travel and the related travel modules; including auditing of non-travel expense reports and administration of travel expense reports, consulting for travel related campus issues, administration of corporate and travel card program, and is responsible for the non-purchase order portion of the accounts payable function. This is a full-time position.

RESPONSIBILITIES
50% A. Travel Program Administration
A.1 Administer the institution travel program for the University and assume the role of campus liaison for UW-System travel staff.
A.2 Audit all submissions related to non-travel and expense reports according to the travel expense regulations set by UW-System, State of Wisconsin, and the university.
A.3 Audit non-employee profile forms to ensure proper reimbursement takes place.
A.4 Responsible for enforcing UW-System and university regulations for all types of travel.
A.5 Train, advise and aid university employees on the use of travel and expense modules, as well as required documentation from a process and compliance perspective.
A.6 Communicate to campus travel regulation changes.
A.7 Administer the institution US Bank Card and Pro Travel programs. Include processing applications, increasing credit limits, working with delinquent accounts, auditing the Pro-Travel card transactions, working with US Bank representatives, and closing accounts. Accounts Payable and Accounting

B.1 Process all non-purchase order accounts payables
B.2 Serve as a backup to the Accounts Payable Specialist for purchase order payables during busy times and absences for processing of supplier payables.
B.3 Review Food Requisitions submitted from campus employees for completeness and compliance with university policy.
5% C. Other Program Administration
C.1 Maintain the wireless handheld device annual approval forms for the university.
C.2 Maintain an updated inventory of Headquarter City exemptions.
5% D. Training and Web Communication
D.1 Develop and conduct annual Travel training sessions for university employees.
D.2 Maintain online (web) resources for travel related information.
5% E. Miscellaneous
E.1 Practice safe work habits on the job.
E.2 Participate in BFS Department meetings. Make suggestions for possible changes to existing policies or creation of new policies.
E.3 Complete special projects as assigned.
E.4 Serve on committees as needed.
E.5 Attend UW-System meetings to stay current on changes to policies and procedures.

ADDITIONAL INFORMATION
The hourly rate for this position is based on experience and available budget. A six-month probationary period is required. The UW System provides an excellent benefits package including participation in the Wisconsin State retirement plan.
