ORGANIZATIONAL SUMMARY:
The Office of the Registrar leads a hub of critical services for students, faculty,
and staff, including student an academic record keeping, a conflict free academic schedule, registration, graduation, data reporting and
state and federal compliance to support the University’s educational programs.
POSITION SUMMARY:
The Enrollment Management
Analyst serves as a team lead in the Office of the Registrar, ensuring timely, accurate processing on enrollment processes and through this
work identifies practices that may impact downstream reporting. Serves as a liaison to partner departments across the institution and
ensures this coordination supports collective data reporting requirements. Analyses and updates data to process student records and to aid
in report reconciliation.
RESPONSIBILITIES:
The Enrollment Management Analyst serves as a team lead in the Office of the
Registrar, ensuring timely, accurate processing on enrollment processes and through this work identifies practices that may impact
downstream reporting. Serves as a liaison to partner departments across the institution and ensures this coordination supports collective
data reporting requirements. Analyses and updates data to process student records and to aid in report reconciliation.
As as integral
part of the Space and Course Management Team for the URO, coordinates on the establishment of deadlines for space management each term. Uses
computer application to optimize space usage. Oversees use, testing, and upgrades of space management application. Participate in campus and
system space scheduling committees. Works effectively with academic areas, events office, security, and facilities services to effectively
manage academic space and to resolve related issues.
Assists with training and college coordination related to Banner use for
scheduling. Interprets and provides guidance on related policies and practices. Train users on event scheduling tool (25Live) for ad hoc
room requests. Interprets and implement policies and procedures related to space usage. Responsible for ensuring confidentiality of student
data. Performs all work with confidential and sensitive student information under observance of the Family Educational Rights and Privacy
Act (FERPA), and other federal and State guidelines. Informs the individuals working with confidential student information about legal
restrictions, privileges, and ethical considerations surrounding its use.
Prepares data for reporting. Responsible for space record
maintenance and reconciliation for SIF and Space File data reporting.
Responsible for ensuring confidentiality of student data.
Performs all work with confidential and sensitive student information under observance of the Family Educational Rights and Privacy Act
(FERPA), and other federal and State guidelines. Informs the individuals working with confidential student information about legal
restrictions, privileges, and ethical considerations surrounding its use.
Regularly updates Assistant University Registrar on status
of projects, highlighting important issues and areas of concern. Serves on institutional committees at the discretion of supervisor and the
University Registrar. Serves as essential personnel for Continuity of Operations Planning for the continuation of essential functions during
a disaster or emergency. May serve in the absence of the Assistant Registrar, to ensure the mission and goals of the URO are
met.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor’s
degree in related field with one year of related experience, or five years of related experience.
PREFERRED:
Professional work
experience in a higher education environment. Proficient with MS Office. Demonstrated knowledge of and ability to adhere to FERPA.
Demonstrated knowledge and experience with with student information systems (Ellucian’s Banner preferred) and digital document imaging.
Familiarity with USF policies/procedures. Self-motivated, dependable, experienced handling multiple projects in in a high volume, customer
service oriented academic institution where priorities quickly change. Demonstrated confidence and competence in relaying decisions to
students, staff members, faculty and administrators. Prior experience with room scheduling.
