Housing Operations Coordinator
This is the job for you. The Housing Operations Coordinator supervises and coordinates housing tour operations, collaborates with Enrollment Management on daily campus tours and recruitment efforts, supervises the residence hall tour and showroom program, call center, customer service software, departmental email accounts, and the departmental administrative front desks. Manages all neighborhood residential offices and the students that support the Neighborhood services position.

4. Key management for Residence Hall residents using audits and StarRez
5. Involved in the opening and closing preparations for Residence Halls (August and May)

Bachelor’s Degree with 1 year experience working in a higher education setting
Preferred Qualifications:
Master’s degree in higher education or similar field.
Knowledge/Skills/Abilities:

Job Duty:
Email management and response – Provide excellent communication and assist with timely response in partnership with areas within University Housing and University partners through the email management system. Work to provide a foundation of responses to frequently asked questions, process-specific items, etc. Provide training to account managers within the system. Utilize the email management system to provide assessment to the department regarding student, parent, and visitor outreach themes, complaint documentation and response, and update supervisors regarding staff management of assigned conversations.

Job Duty:
Customer Service – Functions as an air traffic controller, keeping an awareness of all the variable happenings in campus housing, as well as the intersections with partners, potential hazards, and opportunities for efficiency. Screen calls, greet visitors, and work with the SPURS and departmental staff to monitor departmental email accounts and phone calls to problem solve and independently answer questions so they do not escalate unnecessarily.
Administrative – Coordinate the operations team vehicle schedule and mileage logs. Coordinate departmental projects as requested. Attends administrative staff meetings. Assists in large office projects and other duties as assigned. Coordinates purchasing based on the needs of the unit in accordance with university purchasing processes and procedures. Maintains the workroom and mail room to ensure appropriate delivery and supply stock. Facilitates deliveries with vendors, such as micro fridge drop-off and pick-up.
Recruitment and Events – Serve as departmental representative at Enrollment Management recruitment meetings. Works with Enrollment Management to provide student staffing at all admissions related events to include but not limited to Admitted Students Days, Orientation Resource Fairs, etc.

Student Staff Supervision – Coordinate and supervise the SPURS student staff program including satellite office locations, in support of occupancy goals and student record accuracy in StarRez. Ensures adequate staffing of all area offices on campus. This includes recruitment, selection, training, and scheduling of all student staff members during area office hours of operation. Call Center staffing and management during high-volume times each semester for processes like move-in, application periods, etc. Management of these offices requires routine visits to area offices as well as accountability and continued training to maintain a consistent standard of care to all residential visitors and guests.

Key duties include key management for all campus housing facilities, including, but not limited to, regular key audits and daily StarRez dashboard. Maintain logs and data for office utilization and staff actions. Order keys and temporary access cards when loss or replacement is required. Coordinate with in-hall Residential Life staff when students visit the office for a check-out or check-in process to ensure that inspections of spaces are done in a timely manner.
