The Temporary Admissions
Administrative Assistant will process applications for specific College of Liberal and Professional Studies high school programs and provide
effective communication to applicants and admitted students. The Temporary Administrative Assistant position is for approximately a
four-month period starting December 2023. The weekly hours will be a maximum of 30 hours per week. Weekly hours may be less during month of
December. The position is hybrid eligible.
Job Description
The Temporary Admissions Administrative Assistant
supports effective communication to Penn’s College of Liberal and Professional Studies applicants and admitted students through prompt and
accurate response to inquiries via phone, email (Fresh Desk system), and U.S. mail and through smooth hand-off of prospective student
questions to recruitment and program staff. This position processes applications, official transcripts, and supporting documentation
according to accuracy and timeline targets to support application goals; monitors applicant data in the online application/admission system
(CollegeNet) and other admission systems utilized by the department; updates applicant records; and monitors progress of pending
applications until complete.
The position utilizes the many functions within the application systems and collaborates with the
program and other administrative staff. S/he also retrieves applicant data from outside transcript and standardized test services accounts,
runs routine application and admissions reports, and routes completed applications to admissions committees for review. The Admissions
Administrative Assistant posts admissions decision letters and works closely with LPS Student Records staff to ensure post-decision
applicant data and official transcript verifications are correct.
Responsibilities
Qualifications:
High school diploma or GED and 3 to 5 years of experience or equivalent
combination of education and experience is required in an office setting with public/customer contact. Bachelor’s degree strongly preferred;
Intermediate understanding of databases, excellent written and oral communication skills; strong typing, organizational, and computer
skills; and intermediate level skills in MS Office required.
Experience in an academic environment and knowledge of student record
management systems for collecting student data (e.g., Banner) preferred. Experience using CollegeNet or other CRM strongly
preferred.
