Job Description Summary
The Program Coordinator position is responsible for the logistical arrangement, management, and execution of strategically important co-curricular Venture Lab programs and projects that engage entrepreneurial-minded students across Penn’s campus.
Based in Philadelphia, this position reports directly to the Director of Explorer and Investor Programs. The Program Coordinator will be a key part of the core team that executes Venture Lab programming, focusing on Visiting Experts, Start Here Mondays Advising, the Penn Wharton Innovation Fund, and Entrepreneurship Through Acquisition.
Job Description
The Coordinator is responsible for managing program execution and logistics including, but not limited to, organizing activities and events, requesting and booking speakers, program and event marketing and registration, communicating with students, speakers and other stakeholders, managing the webpages and other online platforms related to assigned programs, and running the day-of, on-site operations. The Coordinator will manage application processes, selection committee logistics, award processing, and communications with students as needed for assigned programs.
The Coordinator will be expected to have or to be able to quickly build skills and knowledge related to the entrepreneurial ecosystem and venture capital industry, and experiential learning and student development. The Coordinator will also be expected to have or to be able to quickly build the technical skills required to effectively and independently use the technical tools Venture Lab uses for the Visiting Experts and Start Here Mondays programs (ex. ScheduleOnce), event management and registration (ex. Eventbrite), CRM data collection and management (ex. Salesforce), website management, editing, and creation (ex. Brightspot CMS), marketing (ex. Active Campaign), research (ex. Pitchbook), reporting and presentations, applications (ex. SurveyMonkey Apply), and surveys (ex. Qualtrics). This role will also be responsible for independently managing the technical tools used to run the Visiting Experts and Start Here Mondays programs, analyzing their effectiveness, and recommending and executing improvements.
The Coordinator will be responsible for data collection, data management, and tracking of program KPIs (Key Performance Indicators) for programs in the supervisor’s portfolio. This role will conduct extensive research on a yearly basis to track progress of students and ventures who are/were part of these programs (ex. winners of Innovation Fund awards). The Coordinator will analyze the data, based on KPI requirements and specific requests from donors, and prepare reports to be shared with senior leadership and donors. The Coordinator will also be responsible for creating the presentations for the twice-yearly Venture Lab Advisory Board meetings, and for other meetings with donors/potential donors aligned with the supervisor’s portfolio. The Coordinator will be tasked with making recommendations for program improvements, based on the data collected, with a particular focus on alignment with Venture Lab’s KPI goals.
The Coordinator will partner closely with Wharton External Affairs and Penn’s Office of Development and Alumni Relations, and serve as the day-to-day relationship manager for the alumni and donors who participate as speakers, mentors, and presenters in the above mentioned programs. The Coordinator will further collaborate with EA, DAR, program students, and alumni to collect and prepare stewardship materials for those offices’ annual reporting needs. The Coordinator will also be responsible for collecting and preparing data at the request of Wharton EA, Penn DAR, and Venture Lab senior leadership for communications with donors/potential donors aligned with the supervisor’s portfolio.
While the schedule is generally business hours, some ability to work early mornings, evenings, and weekend hours, and to occasionally travel is needed. This position is located in Philadelphia on Penn’s campus. After successful completion of the introductory period, this position is hybrid eligible with some weeks requiring more in-person work as needed. This position is contingent upon funding.
Qualifications
A Bachelor’s Degree and minimum of 3-5 years of experience are required, preferably in a university setting, or equivalent combination of education and experience. Master’s Degree a plus.
