Working Title: Operations Manager-Ortho Physical Therapy
Position Grade: 13
Position Summary
Under indirect supervision, and in partnership with the Division Chief, manages and coordinates the integrated operational infrastructure of a large, multifaceted operating and/or services Unit of the School of Medicine- the Division of Physical Therapy.
Participates in the development of, and oversees implementation and administration of, unit policies, systems, and procedures. Must be able to multitask and communicate openly and freely in a timely manner, working as an integral part of the team to keep the Division Chief informed on budgetary issues and the day to day operations. Oversees fiscal, operational, administrative, and human resources management of the program. Maintains responsibility of the appropriate use of programmatic funds up to approximately $2 million per fiscal year. Prepares financial and/or operational analyses and reports, and audits current procedures to monitor and improve efficiency of operations.
Manage the day-to-day activities of one or more unit line functions as appropriate, and may deputize for the head of the unit as required. The program is focused on the education of physical therapists, although research and other services apply which are typically funded through contract/grant provisions. This is a full-time regular position.
Duties and Responsibilities:
Manages and oversees the administrative and daily operations of the Division of Physical Therapy, ensuring compliance with university, state, and federal policies and regulations as well as accreditation through CAPTE.
Oversees the supervision of staff personnel, which includes work allocation, training, promotion, enforcement of internal procedures and controls, and problem resolution; evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance.
Designs and develops or assists with design and development of program(s) or project(s).
Manages contract, grant, and/or state funding; approves and monitors budget expenditures; prepares budget revisions; provides interim status reports on all accounts; oversees, coordinates, and/or assists with proposal writing to develop additional funding.
Provides technical and/or professional coordination and leadership in the execution of day-to-day program/project activities, as appropriate to program objectives and area of expertise.
Participates in the development of annual operating budgets and provides fiscal direction to the unit.
Develops and implements systems and processes to establish and maintain records for the operating unit.
Oversees and/or coordinates the collection, compilation, and analysis of program activity data; develops, writes, and presents comprehensive statistical and narrative program reports.
Assists in producing, developing, advertising, and marketing project(s) and/or product(s) in various media such as print and video; may assist in developing teaching materials, handouts, news releases, pamphlets, and brochures.

Conditions of Employment
Minimum Qualifications
High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
Knowledge, Skills and Abilities Required:
Ability
to develop and maintain record keeping systems and procedures.
Skill
in the use of computers, preferably in a PC, Windows-based operating
environment.
Experience with Banner
budgeting, Payroll, NSP forms, EPAF’s and Chrome River.
Experience with HR including Faculty and Staff hiring,
OFACD, Faculty Contracts and UNMJobs.
Managerial experience working
in diverse teams and supervising staff.
Strong
interpersonal and communication skills and the ability to work effectively
with a wide range of constituencies in a diverse community.
Ability
to gather data, compile information, and prepare reports.
Ability
to provide technical coordination and management of development and/or
implementation projects in area of expertise.
Program
planning and implementation skills.
