The University of New Mexico Health Science Center, Department of Family & Community Medicine seeks to hire a Medical Education
Program Coordinator. This highly motivated individual will plan and coordinate day-to-day fiscal, administrative and operational activities
for the medical education program. The position will report to the Program Manager.
The position duties include:
Administration of the Residency Software System New Innovations:
Evaluations-
-Match Milestones (ACGME
requirement) to rotations so our UNM FM residents and to intern residents from Santa Fe and Silver City.
-Create new sessions so the
Residency office can evaluate rotations/faculty/residents.
-Match faculty to residents so we can, as an office, can see how our
residents are progressing from block to block. This is done weekly while on our services that are shared Family Medicine inpatient service,
Maternal Child Health, ICN and Newborn Nursery.
-Match residents to assigned rotations.
-Track completion of evaluations by
preceptors and residents.
Schedules-
-Enter resident schedules in New Innovations and keep it updated.
Duty hours-
-Back-up for monitoring duty hour completion and monitoring violations (weekly)
Personnel-
-Add/Archive new personnel
-Give and set privileges for faculty, residents and coordinators
Academic Years-
-Set up new academic year for interns and
upper level residents
-Set up new academic years as needed for evaluations.
-Manger Logger: Manage the logger system to
see what resident’s log.
Organization for the Residency Interview Season:
Coordinate and schedule
interviews with interviewers (Faculty & Residents), Coordinate facilities for interviews and presentations, Set up the PO for the van
rental from UNM for interview season, Conduct applicant tour of Albuquerque and continuity clinic, Daily prep for interview day: Room set
up, files, interview sheets, Prepare applicant files-ERAS Applications, Schedule residents to host applicant dinners for each interview day.
Process reimbursements for the dinner hosts.
Accounting-
-Process accounting on a daily basis reimbursement
for residents and faculty, Non-standard payment forms, P-Card purchases.
-Process rural rotation reimbursement for residents to
rotate in rural areas within the State of NM.
-Process USMLE reimbursements. Track all second years take their USMLE step 3 and get
results during their second year as per the resident contract.
-Process payments on an average of five different index accounts.
Vacation Request for second and third year residents (total of 26 residents):
-Process vacation requests for all
second and third years (log, notify clinics/rotations).
-Track vacation logs to ensure accurate amount of time is used.
-Adjust for CME, Maternity/Paternity Leave, annual, sick, professional leave.
-Track Holiday compensation time that is accrued
throughout their residency.
This position requires strong customer service skills since this individual will have direct interaction
with medical students and residents. Clear and concise writing skills are necessary to communicate daily by email explaining documentation,
guidelines and rules. Intermediate skills with spreadsheet programs such as Excel are integral to track, interpret and analyze data.
Numbers for Continuity Clinic:
-Maintain a spreadsheet of continuity patients seen by each resident at each site
and the number of weeks in clinic as per the ACGME requirements which state that residents must see a certain number of continuity patients
and work a certain number of weeks throughout residency.
Track that all Residents meet the required Metric module (set up and pay for
via AAFP) and Sam module (tracked via ABFM).
Administration of all incoming interns’ mandatory courses (i.e. Lobo wings and
Neonatal resuscitation program course) compliance.
Assist Intern Orientation (order lab coats, business cards, pagers)
Complete alumni/current resident post-grad verification forms.
