AFSCME Unit 6 – Clerical
Job Duties/Responsibilities:
80% Clinical Administration
– create complex call schedules for physicians inpatient service and clinic schedules
– maintain schedules in QGenda scheduling software
– check schedules in EPIC for accuracy
– make adjustments to physician schedules as needed to accomodate leaves, cancellations, staff changes, and for other purposes.
– partner with advanced practice providers on creation and maintenance of schedules
– route patient medical records that come into the department to the appropriate clinic
– ensure physician schedules are synced between google and Qgenda.
– proactively communicate with physicians the timelines for cancellations and holidays for compliance with the 42 day clinic cancellation policy
– assist physicians with reimbursements, completion of compliance training and documentation, and other practice requirements
– assist with scheduling patient education, advocacy and other community facing activities
– assist department administrator with clinician recruitment, annual appraisal submissions, and physician onboarding
20% – Office Operations
– Respond to and initiate inquiries regarding purchasing, personnel, facilities
and operations.
– Explain policies and procedures and independently resolve problems/questions.
– Prepare presentation materials for others and edit the content.
– Provide support for personnel searches and other complex events including grad school
applications, grant proposals and contracts.
– Assists with the planning of meetings.
– Coordinate and make decisions on a daily basis regarding calendars.
– Compose and/or prepare correspondence, memoranda, promotional materials or forms,
newsletters, manuals, etc.
– Assist with grant proposals and serve as a resource for information related to the
management of grants and contracts.
– Develop computer-assisted processes, guidelines, procedures or tools.
– Design and/or maintain databases, websites.
– Process and maintain information that may require gathering, compiling and
maintaining data.
– Responsible for evaluation and modification of file systems.
Required Qualifications:
– High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience.
– Experience with electronic medical records
– Experience in a healthcare setting
Salary Range – $22.71 – $30.35 DOQ
