General Summary:
The Department Research Administrator supports faculty, graduate students, and staff within the Psychology Department, the Center for Evidenced Based Mentoring, and other CLA units as assigned with all pre-award and post-award activities. This role is vital to the success of sponsored research within CLA by providing daily supervision of the administrative and fiscal elements of all proposals and successful awards across the grant life-cycle.The Department Research Administrator will provide routine oversight and management of the intramural and extramural grant portfolios of eligible Principal Investigators (PIs) by researching funding opportunities, assisting with the preparation of funding applications, and monitoring funded grants, contracts, cooperative agreements, and gifts/donor accounts. Examples of pre-award tasks include identifying potential funding opportunities and assisting with funding applications, including budgets, and working with staff of the Office of Research and Sponsored Programs (ORSP). The incumbent will work closely with PIs reviewing and advising about relevant sponsor regulations and University policies. Examples of post-award tasks incudes account maintenance; processing grant-funded personnel actions; budget forecasting, expenditure reporting, and account allocations; and maintaining grant records in compliance with sponsor and University policies. In addition, the incumbent will have fiscal responsibilities for the Psychology Department’s Research Trust Fund (RTF) accounts. Example tasks include purchasing as well as monitoring the expenditures from both Departmental and PI RTF accounts. The incumbent will provide reports on request to PIs with RTF accounts and will provide such updates to all PI RTF faculty at the beginning of the fall semester (or when the RTF annual budget is loaded) and again by the end of the spring semester.The Department Research Administrator will provide back-up support to other CLA grants staff when those individuals are unavailable due to medical leave, vacation leave, or during temporary vacancies in the positions. Although their primary affiliation will be within the Psychology Department, based on changes in grant portfolio size in the Psychology Department and CLA overall—and the accompanying variations in workload—the Department Research Administrator may be assigned pre-award and/or post-award duties for other CLA sub-units. The incumbent will provide grant submission and/or grant management trainings to graduate students and/or faculty PIs in the Psychology Department and CLA overall (at least twice per academic year), support the development of college-wide research policy or practices, and complete other CLA grants-related duties as arise. The Department Research Administrator will work in collaboration with other CLA grants staff, including the Associate Dean who oversees college-level research activities. The incumbent may supervise other staff or work study students in the future.Examples of Duties:
Qualifications: Master’s Degree in business, finance, or a similar area relevant to grant administration, and a minimum of four – seven (4 to 7) years of professional experience, preferably in sponsored programs and grant management in an academic, non-profit, or equivalent setting. Demonstrated pre- and post-award financial management experience, including proposal development and post award management, is required. Experience with proposal submission and RFPs, as well as post-award functions involving several types of award mechanisms, including grants, contracts, sub-contracts, and cooperative agreements, is required. A candidate with a Bachelor’s Degree would be considered if accompanied by greater (7 – 10 years) grant administration-specific experience.
