Job
Summary
The Clinic Receptionist provides administrative support for the Speech and Hearing Office
located in the Department of Communication Disorders and serves as the office representative to clients utilizing the Clinic.
Essential Functions
Monitors and reconciles the
revenue account for the Speech and Hearing clinic on an ongoing basis, providing budget and ad hoc reports for the Clinic Director and
Department Chair.
Processes purchases reimbursements and invoices and creates purchase orders, Procard reallocation and
travel card related expenses associated with the operation of the Speech and Hearing Clinic.
Processes personnel actions
for Clinic personnel.
Maintains equipment and office supply inventory, orders supplies as necessary and updates clinic
databases regularly.
Prepares 3rd party bills for services rendered.
Collects and deposits cash/check/credit card payments per University procedures.
Keeps current database
information for billing software, adhering to privacy and security policies.
Maintains office files for clients, graduate
student clinicians, clinical files and clinical operations.
Produces monthly reports from billing software.
Generates monthly letters for outstanding accounts.
Provides
receptionist duties for the Clinic to include but not limited to answering phones, distributing and receiving mail, greeting clients,
booking appointments, informing clients of insurance coverage, copying forms, monitoring office equipment, usage and electronic
scheduling.
Prepares new client files both electronically and paper charts and matches numerical cards.
Teaches graduate student clinicians office procedures, how and where to locate clients’ files and electronic billing of clients’
visit.
Keeps current and knowledgeable of medical insurance reimbursement policies.
Contacts insurance companies for coverage, deductible and copayment information.
Completes denial follow-ups and claim resubmissions.
Completes computerized client information sheet, including
referral and insurance information.
Provides guidance to graduate student clinicians daily.
Supervises
work study employees and volunteers.
Other Functions
Performs other
related duties as assigned.
Receives direct supervision from the Clinic Director and indirect supervision from the
Communication Disorders Department Chair.
Minimum Qualifications (Knowledge,
Skills, Abilities, Education, Experience, Certifications, Licensure)
Familiarity with
third party medical insurance reimbursement.
Ability to maintain and enforce an atmosphere of confidentiality.
Clear and concise communication style.
Ability to organize, prioritize, and manage simultaneous tasks.

Strong
supervision skills and ongoing desire to train staff and students.
Four years’ administrative or office experience or
Associate’s Degree (in Business Administrative of relevant field) or equivalent combination of education, training and experience.
