Description Position Overview: Responsibilities for performing a variety of administrative duties; coordinates of projects assigned; develops office procedures. Initiate correspondence, memoranda, promotional material, forms, newsletters manual and reports. Oversee the work of office, administrative, or customer service employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems. Develops and maintains confidential or complex files. Interprets and advises internal and external customers on programs, policies or rules. Assists leadership in program/event planning; administers budgets; and coordinates academic and/or staff personnel matters. Resolve problems that have a significant impact on the overall goals of the department. May have contact with sensitive, complex and confidential information. May be responsible for managing calendars, appointments, chair events and meetings.
Department Specific Essential Job Functions: Coordinates the day-to-day operations of the Campus Card Services office.
30% Enforce policies, verify student or staff status, and manage issuance of new and replacement university ID cards. Maintain card production records. Monitor and order supplies for Campus Card Services. Recruit, select, and supervise student staff. Train student staff for operation of university ID Card systems. Set, monitor, and evaluate performance goals for student staff. Perform routine cardholder permission modifications for various campus use privileges. Assist the director in monitoring the departmental budget and advises the director with regard to departmental purchases. Provides day-to-day leadership as a functional administrator of campus ID Card software, and ID card production software.
20% Partner with the Office of Information Technology for the management and use of the Transact ID Card system. Administer event setup in Transact to ensure ID card check in at campus events, including but not limited to events designated as part of the Student Transformative Learning Record (STLR). Distribute and monitor the temporary use of card validation equipment for various campus departments and organizations. Oversee hardware maintenance program. Maintain Transact and Sequoia hardware inventory and invoice departments appropriately. Work in partnership with Security Technology, Information Technology, and Police Services to control/limit/freeze card functions in the event of individual and/or campus emergencies. Manages and supports operations for the Campus Card Services office.
15% Purchase supplies and other resources for Campus Card Services. Serve as timekeeper for Campus Card Services. Recruit, select, and supervise student staff for Campus Card Services. Support the Director of ID & Access Services in the organization and facilitation of departmental staff meetings. Advise the Director of ID & Access Services in departmental decision-making. Coordinates events and marketing promoting the campus ID Card.
10% Oversee ID Card marketing efforts under the direction of the Campus Enterprises Marketing team. Coordinate card design/redesign and ordering processes. Responsible for the development, implementation, and assessment of programs that promote campus awareness regarding ID Card services and processes. Coordinate production and distribution of campus ID cards at university orientation events. Coordinate ID Card marketing initiatives, including but not limited to mail and email marketing. Provides a high standard of customer service to the university community and institutional partners.
10% Emphasize a customer service focus among the Campus Card Services staff. Serve as a liaison with the University’s banking partner regarding campus card operations relevant to our dual function ID/Debit cards and relay relevant and important information to affected departments at UCO to provide services and training. Attend regular meetings and/or maintain professional relationships with third party ID Card partners. Stays abreast of best practices and benchmarking in ID Card operations in order to troubleshoot, problem solve, and improve processes in the day to- day operations of Campus Card Services.
10% Maintain knowledge of trends in ID Card technology as well as banking and federal regulations governing campus ID Card systems. Maintain familiarity with ID Card systems and related campus technologies. Identify problems encountered while conducting ongoing procedures and operating routines and develop appropriate resolutions. Assist with troubleshooting and solving access problems at card reader locations throughout campus. Other duties as assigned.
5% Provide support for the broader work of ID & Access Services and Campus Enterprises. Performs other duties as required to support the mission and function of the area of responsibility.
Qualifications/Experience Required: Requires a university degree in related field plus 6+ years of relevant experience or equivalent years of work experience that provides knowledge of and exposure to fundamental theories, principles, and concepts. Requires the application of expertise in a chosen field to achieve results.
Knowledge/Skills/Abilities: Ability to work with diverse groups, work creatively and collaboratively. Demonstrated skill in public speaking. Excellent oral and written communication skills. Computer proficiency in Microsoft Office. Ability to handle multiple tasks simultaneously and interact professionally with all segments of the University community. Must demonstrate a warm and caring professional attitude along with phone etiquette protocol. Excellent customer service skills, strong attention to detail, and ability to maintain calm demeanor during high-stress situations. Ability to listen and synthesize directives.
