The Opportunity:
The UCF Police Department seeks a Manager, Inventory I. This position will be responsible for tracking university property at the Police Department. This will include maintaining inventory in stock/supply room, resolving issues pertaining to any and all equipment and retrieving any and all equipment issued to department employees. Responsible for managing university property and the inventory scanning team. Responsibilities include the scheduling of appointments with custodians, coordination of work efforts and acting as the property liaison with Property Custodians in the various departments.
The Police Department welcomes candidates with the ability to take initiative, work independently, balance multiple projects, set priorities, and work autonomously yet also as a member of a team. Due to the nature of the position, we seek candidates with strong attention to accuracy and detail, and sound judgment and conflict resolution skills.
Responsibilities:
INVENTORY MANAGEMENT:
Manage the acquisition and issuance of uniforms, equipment and supplies from stock to agency personnel according to agency policy and procedures. Receives, inventories, logs, and secures packages and equipment; notifies the appropriate personnel of receipt.
Assist in the preparation of the annual police uniform bid process. Provide recommendations and estimates regarding the replenishment of supplies, equipment, and services. Maintain liaison with the uniforms/equipment vendors.
Initiate requisitions for orders. Coordinates shipping and receiving of packages and large freight with vendors and commercial carriers. Liaison with Finance Business Center to ensure invoices are verified, confirm expenditures on expense card and charges are paid.
Strategically plan for future recruitment and retention. Prepares periodic, special, or perpetual inventories of uniforms, equipment, and supplies. Generate reports and provide documentation to support budget allocation.
Process employee requests for new/replacement uniforms/equipment. Ensures issued equipment from sworn and non-sworn employees is returned when separating from the department. Maintains office records/files and detailed inventory of agency property.
PROPERTY CUSTODIAN:
Manage all Police assets; verify tagging, identification, and value in accordance with University Policy.
Maintain agency property records including location, inventory assignment, status, and value of fixed assets. Processes transfers of fixed assets. Prepares agency property for disposal. Works with agency personnel to locate missing items and resolve discrepancies.
VENDOR MANAGEMENT:
Use excellent judgment, interpersonal, project management, and organization and planning skills.
Effectively lead with integrity and work under pressure.
Effectively de-escalate conflict situations with vendors and team members.
Respond to common inquiries or complaints and effectively present information and respond to questions from vendors, senior staff, Fiscal Management, officers and/or other members of the university.
Calculate figures and amounts such as discounts, and interest, with basic algebra and geometry.
Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Minimum Qualifications:
Bachelor’s or Master’s degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
Experience working in an inventory management or procurement role.
Experience working in an urban education environment.
Experience working in a law enforcement setting.
Experience working in a higher education setting.
Proficient with Microsoft Office Suite.
Excellent verbal and written communication skills.
