Job Summary
The Administrative Officer 3 will play a critical role in managing and performing administrative services and overseeing the academic operations of the Division of Obstetrics, Gynecology & Gynecologic Subspecialties (OGGS) within the Department of Obstetrics, Gynecology, & Reproductive Sciences. The OGGS Division is a large division within Ob/Gyn & RS, consisting of 24 faculty members, 5 per-diem providers, and 8 clinic locations in the Bay Area, and additional clinical presence outside the Bay Area. With their expertise in analytical practices, policies, and procedures, the incumbent will manage complex time-sensitive projects on behalf of the Division Chief, Directors, and other leadership team members. S/he will serve as the primary liaison to faculty, staff, and external organizations, providing executive level support in the absence of key personnel. This position requires a high-level individual with excellent judgement who is capable of independently carrying out duties to completion with minimal guidance and supervision. Additionally, s/he will produce the annual division report to document division activities and support decision-making.
In this role, the incumbent will have diverse responsibilities including functioning as the lead coordinator for the OGGS Sabbatical Program, collaborating with Program Directors of OGGS fellowship programs, coordinating academic operations, developing and managing the Division’s website, serving as the Main Assistant to the OGGS Division Chief, and serving as a point person on special and ongoing projects. S/he will also interface with the Department finance team to track budget and expenses and provide backup support to other non-ZSFG Divisions as needed.
Excellent communication skills, both verbal and written, along with diplomacy and tact, are essential in this role as s/he will attend meetings, take notes, and synthesize meeting data into coherent written minutes for distribution. The ability to triage and prioritize in a fast-paced environment, work independently with minimal supervision, stay current with technological applications, and maintain meticulous attention to detail are also key aspects of this role. Flexibility, pragmatic problem-solving skills, and a team player mindset will contribute to their success in supporting a diverse team. This position may also require performing other duties as assigned, providing backup support as needed.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% – 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

The Department of Obstetrics, Gynecology and Reproductive Sciences (Ob, Gyn & RS) is a major academic Department in the School of Medicine, engaged in clinical, research and training activities at the Parnassus, Mount Zion, and Zuckerberg San Francisco General Hospital campuses, the new Betty Irene Moore Women’s Hospital at Mission Bay, as well as satellite locations throughout the Bay Area, with an annual operating budget of $149 million. The Department has 100 full-time faculty, 117 other academic appointees, 13 post-doctoral fellows, 20 clinical fellows, 32 residents, 138 voluntary clinical faculty and 270 staff.
