Summary of Job Duties:The Institutional Assistant enhances the effectiveness of the college by providing administrative support and general office management support. The Institutional Assistant reports directly to the Dean. This position is governed by state and federal laws, and agency/institution policy.Qualifications:
Required Education and/or Experience:
Associate Degree required with 1 year of experience in Higher Education.
Preferred Education and/or Experience
Bachelor Degree;
WorkDay Experience;
Customer Service Experience;
Office Management Experience.
Job Duties and Responsibilities:
Is the primary Point of contact to the Dean’s Office and provides excellent customer service to visitors in the Dean’s Office (Dean’s office manager);
Coordinates with the Associate Deans, directors, chairs, and coordinators to ensure course schedule is in Banner/Boss systems and makes corrections as necessary;
Communicates with Associate Deans, Department Chairs, Directors, as well as others outside of the College on college issues, requests, and concerns;
Maintains roster of faculty promotion and tenure; provides communications to college units regarding process;
Coordinates annual review documents into dean’s office and to provost’s office;
Assimilates and distributes information to the college departments and faculty;
Manages room reservations for all college rooms;
Assists with preparing and distributing agendas and takes detailed minutes for Executive Council Meetings, advisory boards, and other meetings as directed by the Dean;
Assists with preparing and producing college newsletters and annual reports;
Provides logistical support for college events and meetings;
Maintains contact list for the college;
Maintains and purchases supplies;
Manages building issues by coordinating repairs and maintenance with Facilities Management;
Acts in a supporting role in managing college’s Faculty Success/Workflow (Watermark) (or other HR software) personnel management software providing support as needed; and
Other duties as assigned.

Ability to manipulate data in a spreadsheet.
