The Facilities Operations Administrator oversees administrative functions with integrity and efficiency. This role will carry out a wide range of activities, including financial data management, reporting, correspondence, and direct contact with our customers, vendors, and employees.
· Report reconcile credit card statements and bank accounts and pay bills.
· Monthly revenue and expense recognition.
· Manage relationships with vendors.
· Create client invoices according to schedule.
· Maintain internal controls.
· Process employee expense reports.
· Provide reception and administrative
· Provide executive admin support: proactive calendar mgt, in-hours/out-of-hours travel support, expense mgt. basic reporting, functions, meetings support meetings planning
· Book car transport, accommodation, travel for guests and visitors as required
· Proven, secure experience managing confidential Executive communications
· Maintain office security, passes, parking access and safe secure access.
· Maintain adequate supply of stationery office supplies.
· Cater food and beverages in for client, vendor management and staff meetings as approved
Requirements:
· Familiarity with Quick books (or similar system), Google Applications and Excel.
· Accounting knowledge a must.
· Clear communicator, with the ability to deal effectively and tactfully with a wide variety of people in email, on the telephone, and in person. Ability
· You’re an organized person and detailed oriented
· Attention to detail and a passion for accuracy, error‐free data entry, and accounts that balance.
Qualifications/ Experience
· Minimum 4 years of professional administrative experience
· 3-5 years min experience in an office management role
· Prior experience working with Executives and flexible working hours
· Proven ability to be action oriented, self-motivated with track record of being an enthusiastic and effective team player with experience leading and influencing others to ensure successful outcome
· Ability to navigate organization with minimal direction, in support of completing tasks
· Ability to work in a face paced environment
· Demonstrated outstanding oral and written communication skills
· Bachelor’s Degree, preferred.
