DESCRIPTION
Chemistry and Biochemistry is one of the largest and most complex departments on campus. Our Department combines research on the most consequential and revelatory scientific areas with education aimed at building our future leaders and scientists. The department’s organization is divided among three major academic sections each with its own leadership representation under the Department Chair: Physical, Analytical & Environmental (PAE); Biochemistry & Biophysics (BB); and finally Synthesis, Materials and Chemical Biology (SMCB). The department is comprised of 75 ladder rank faculty, and additional 10 in various instructional titles and ~150 in academic research titles and postdoctoral scholars. The above academic community presents a plethora of diverse complex issues from Health Sciences Compensation Program agreements to adjuncts from national laboratories sharing negotiated employee patent agreements.
The Academic HR Analyst provides advice, instruction and policy interpretation on matters involving faculty academic personnel administration, including recruitment, advancement, compensation, benefits, leaves of absence, faculty relations, and visa/immigration issues for all professorial titles. This position supports our Ladder Rank Faculty, as well as our Unit 18 Lecturers and Adjunct appointments.
This position will be filled as an Academic HR Analyst 1 or 2 based on candidate’s experience and qualifications. This is a hybrid position which will allow for 3 days in the office and 2 days remote.
Acad HR Analyst 1 ($50 – $60K) Under supervision, work with the HR | AP Manager in administering academic personnel matters for faculty within the department. Prepare, process, and document academic review files, recruitments, visa applications, benefits, and leaves. Receive assignments on a project basis and fully analyze problems, gather data and information, and recommend solutions.
Acad HR Analyst 2 ($60 – $80K) Under general supervision, independently manage all aspects of academic affairs for faculty within the department. Provide expert advice, instruction and policy interpretation to the chair, faculty, Chief Operating Officer and the HR|AP Manager on all matters involving academic personnel administration. Analyzes and formulates policy and procedures for departmental academic personnel activities. Actively participate in and contribute to short-term and long-term goals of the department as they relate to academic affairs in a broad sense. Serve as the primary point of contact to Academic Personnel Services (APS) and the School of Physical Sciences Dean’s office on matters related to faculty.
Vacation may not be scheduled during peak periods.
QUALIFICATIONS
Level I
Knowledge of and ability to apply/interpret organization and college policies and procedures which govern academic HR. Ability to appropriately interpret, explain and implement policies related to merit/promotion reviews, compensation, payroll, leaves, benefits, affirmative action, visas, discipline and conflict resolution, and fiscal administration. Ability to continuously update knowledge through classes, policy manuals, independent study and interactions with colleagues across the campus and UC system.
Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies. Ability to analyze documents for compliance with campus and systemwide regulations and procedures; collective bargaining regulations and procedures; Affirmative Action guidelines; and immigration regulations. Must be able to keep track of and explain policies at a sectional, departmental, and divisional level.
Analytical skills to conduct analysis and develop recommendations to Chairs / unit management. Demonstrated ability to independently analyze complex problems, conduct research, interpret trends, identify various options, draw conclusions, develop and implement innovative solutions that meet the objectives of the department despite competing and changing priorities. Ability to formulate logical and objective conclusions from data and observations; expertise to clarify and resolve situations and recommend action for attainable goals.
Demonstrated ability to collect data, anticipate and resolve problems, and evaluate possibilities of alternative solutions. Skill to understand comprehensive issues both in terms of current complexities and interactions and in the long-term view.
Demonstrated high-level verbal communication skills to convey complex information to a diverse audience of administrative, managerial, and academic employees and at all levels. Strong communication skills utilizing nuance, tact, diplomacy and flexibility. Ability to communicate effectively one-on-one or in group settings, taking into account differences in social, cultural, professional, and educational backgrounds, in writing and electronically.
Excellent reading and comprehension skills to be able to understand and interpret complex material, documents and policies and recommend actions. Ability to proof, draft, edit and make recommendations for correspondence and written materials.
Level II
Demonstrated experience in processing academic advancement files both on paper and through AP On-Line or similar systems.
Work experience in an institution of higher education and familiarity with faculty scholarly activities such as research, teaching and professional service.
Knowledge of human resources management systems and other related business software programs and systems. Proven ability to be meticulous with employee record entries into systems such as UCPath, APData, Interfolio, I-9Tracker, etc.
Demonstrated ability to set priorities, see tasks through from start to completion in order to meet deadlines, despite frequent interruptions. Proven ability to manage a large volume of detailed work.
Ability to work independently and resourcefully, against deadlines, exercising initiative and a high degree of judgment in the performance of a broad range of responsibilities in an environment of routinely sensitive and confidential issues; with the acumen and sensitivity to identify those decisions and activities which require confidentiality and/or higher level consultation and/or group collaboration. Ability to make independent decisions, and to provide consultative services to administrative and academic personnel.
Demonstrated knowledge of computer systems and applications, with demonstrated ability to work independently and proficiently with a variety of business applications (MS Office Suite, Google suite, email, spreadsheet, word processing, database, and web browsing). Willingness and ability to update and increase skills and knowledge as needed. Ability to learn new computer technology and incorporate into current processes.
Demonstrated ability to appropriately handle highly sensitive and confidential situations and issues with a broad audience.
Excellent mathematical and computational skills to work with salary calculations, percentages and formulas.
Excellent presentation skills, and experience providing training in group and individual settings.
Ability to conduct short- and long-range planning for the effective management of a program or project.

Pay Transparency Act
Annual Full Pay Range: $48,900 – $102,300 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $23.42 – $48.99
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
