VTH Business and Accounting Manager
Job Summary:
The Business and Accounting Manager in the Veterinary Teaching Hospital (VTH) is responsible for oversight of the daily fiscal and management operations of the hospital. The manager also oversees the collection, safeguarding and reporting of all funds received from clients in the VTH, verifies the accuracy of daily cash receipts, and monitors client credit account balances; prepares financial and other operational reports; and initiates end-of-month and end-of-year reports. The Manager reports directly to the VTH Administrator.
Essential Job Duties:
- Oversees and collects account payments for veterinary services associated with the VTH
- Maintains accurate records of payments, statements and reporting on all funds received in the VTH
- Process credit or debit card transactions and validate checks
- Maintains accurate accounting of all client credit account balances
- Reports delinquent accounts to the VTH Administrator to initiate collection actions
- Works with VTH Administrator to investigate client inquiries regarding billing or credit matters for appropriate action
- Prepare CareCredit applications for various clients and maintain credit files
- Serves as liaison with vendors and accounts payable to see that vendors are paid in a timely manner
- Prepares and reviews invoices and statements to ensure accuracy
- Mail collection letters or statements to clients and assist with follow-up on outstanding accounts
- Prepares financial and other operational report
- Initiates end-of-month and end-of-year reports
- Maintenance of internal departmental accounting systems
- Works with VTH Administrator to review medical records for proper fee assessment
- Provides telephone and/or direct customer assistance with financial/business matters
- Maintain inventory for Science Diet/other brands of food sales
- Maintain accurate files and oversees transactions for gasoline purchases for hospital vehicles
- Interact with IT personnel to maintain and sustain operating computer systems
- Works with VTH Administrator to update database with codes and/or changes in prices
- Works with VTH Administrator to oversee university fiscal accounts
- Participates in the evaluation of staff assigned to the VTH Administrator
- Attends faculty/staff meetings and attends the VTH Board as needed by the VTH Administrator
- Supervises the work-study student (s) assigned to the Unit
- Demonstrates professional and courteous interactions with faculty, staff, students, clients, and other constituents, and reinforces the objective to achieve the highest level of client service and satisfaction
- Performs other duties as assigned
Qualifications (Education, Experience and Specialized Training):
- Bachelor’s degree in Business Management, Accounting, or closely related field and a minimum of 3 years of experience working in a management position.
- Acceptable with an Associate degree in business management or business-related field with a minimum of 3 years of experience working in a management position.
- Without a postgraduate degree, applicants will be considered with over 10 years of proven experience in a successful business managing budgets and implementation, understand legal regulations of accounting budget processes, and can analyze financial information.
Skills and Attributes:
- Knowledge of principles and practices of financial accounting preferably in an academic environment
- Experience in accounts receivable, billing, and collections
- Must be able to maintain confidentiality of records and any hospital-related matters
- Experience with basic computer skills (Microsoft, Excel spreadsheets and practice management software).
- Ability to manage conflicts
- Good oral and written communication skills
