Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.
Additional Department Summary: Under limited supervision, assists the Executive Director in the day-to-day operations of the UA Fraternity and Sorority Community, which is comprised of around 12,000 students in 68 organizations. Oversees the program support, general office, and administrative duties with some variety and complexity. Typical duties may include overseeing some aspects of the office, acting as a liaison to other offices within the University as well as external contacts, maintaining budget records, supervising students, arranging meetings/itineraries/agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.
The Program Assistant provides direct clerical and administrative support to the Executive Director, Directors, and OFSL staff as needed. Responsible for completing any relevant training. Responsible for greeting and welcoming office visitors, answering general questions, managing office email and telephone communications.
Responsible for completing required training and promoting a safe, hospitable, and respectful workplace.
Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.
Required Minimum Qualifications: High school diploma or the equivalent and three (3) years of general office experience; OR Associate’s degree and one (1) year of general office experience; OR a Bachelor’s degree.
Skills and Knowledge: Possess excellent verbal and written communication skills applicable for a diverse population. Ability to use and working knowledge of various computer software packages including Microsoft Office Suite and Adobe. Ability to quickly learn additional UA software and databases. Demonstrated commitment to understanding and growth supporting UA’s and the Division of Student Life’s values and strategic priorities. Demonstrated commitment to expand multicultural knowledge, awareness, and skills as evidenced through: demonstrating self awareness; understanding and valuing others; demonstrating knowledge of social inequalities; interacting effectively with a diversity of people; fostering equity and inclusion.
Preferred Qualifications: Knowledge of services and program areas campus-wide, as well as fraternity/sorority community trends and issues. Membership in a social Greek-letter organization is preferred but not required.
Proficiency in Concur, SGT Banner, and BuyBama is ideal.
