Normal Work Schedule: Monday-Friday, 8:00am to 4:45pm; limited nights/weekends
Job Summary: Under limited supervision, assists the manager, department head or director in the day-to-day operations of the office/department. Oversees the general office, administrative and secretarial duties with some variety and complexity. Position will typically supervise staff support, work-study students and/or student assistants. Typical duties may include receiving, screening and routing telephone calls, mail and visitors, arranging itineraries/agendas, assist in planning meetings/ events, setting up and maintaining files (database and/or hardcopy), typing a variety of material, compiling data and preparing reports, purchasing office supplies and materials, maintaining budget records, act as daily liaison to other offices.
Additional Department Summary: Provides administrative support to assigned faculty members of the department of Psychiatry and Behavioral Medicine at the College of Community Health Sciences (CCHS). Supports residents, medical students, and fellows in their rotation through the Department of Psychiatry and Behavioral Medicine and the Division of Neurology, as well as various clinic duties.
Required Minimum Qualifications: High School diploma or the equivalent and three (3) years of progressively responsible general office experience; OR Associates degree and one (1) year of progressively responsible general office experience; OR Bachelor’s degree or higher.
Skills and Knowledge: Excellent communication and customer service skills. Ability to work collaboratively in a dynamic setting. Ability to cope with stressful conditions. Ability to demonstrate tact, versatility, and adaptability. Ability to demonstrate a high degree of self-motivation and directional initiative. Efficient and accurate computer and data entry skills. Working knowledge of standard office software applications, including Microsoft Office and basic data platforms. Skill in exercising initiative, judgment, problem-solving, and decision-making. Skill in organizing work to achieve department goals and objectives.
Preferred Qualifications: Experience with University financial policies and procedures, operating software (i.e. Banner, purchasing, budgeting, Concur, P-Card), and supervisory and/or office management experience is preferred.
