Ohio State’s Office of Academic Affairs has recently launched an ambitious academic plan to accelerate the outcomes and impact of our faculty and students. Faculty eminence is at the core of this work and the Office of Academic Affairs (OAA) is working to establish an infrastructure to support the recruitment of diverse faculty talent and their development throughout the academic lifecycle.
Position Overview
The Faculty Affairs Specialist is a vital role on the Faculty Affairs team, which is a part of the larger Office of Academic Affairs (OAA) organization and will work cohesively with the Talent Acquisition team in the Office of Human Resources (OHR). This position will be focusing on business operations for Faculty Affairs and will be involved in strategic planning and various administrative duties such as managing a database, tracking, and reporting data, ordering supplies for faculty welcome bags, various events such faculty networking events, will be involved in event planning and organizing. The Specialist role has been established to provide guidance, consultation, and support to those involved in the strategic recruitment, hiring and onboarding of faculty to ensure an extraordinary candidate experience as new faculty transition to Ohio State. In addition to this work, the Faculty Affairs Specialist will support the individual academic units and OAA leadership in gathering and managing data related to the recruitment and hiring processes for faculty as well as reporting of data for compliance and planning.

The ideal candidate for the Faculty Affairs Specialist role will be relationship-focused, consultative in disposition, possess the ability to interpret and effectively communicate policies and processes. In addition, possessing a very strong attention to detail as well as a strong service orientation.
Breakdown of Duties:
30% Track and verify completion of all required trainings for stakeholders involved in the faculty recruitment, selection, and hiring processes. Verify and manage documentation guidelines for faculty recruitment, selection, and hiring processes to ensure expectations and standards are met and maintained in the following areas: Records retention for the recruitment, selection, and hiring processes; minimum qualification standard; documentation of recruitment efforts throughout the search process; conducts routine audits to verify compliance with these requirements. Partner with units to review identified recruitment goals, assess progress towards established goals, and develop a recruitment strategy to pursue the identified goals. Document assessment and recruitment strategy in the designated repository.
30% Partner with OHR Talent to obtain and assess trends in disposition codes assigned by demographics to identify any potential barriers to EEO. Document assessment and any follow-up action is taken to remove, or remedy identified barriers. Document the assessment and any action plans in the designated repository. In consultation with the units, assess applicant-to-hire demographic data; identify strengths, areas of opportunity, and any potential barriers to EEO. Provide consultation for academic units to support the removal or remedy of possible barriers to EEO. Document barrier analysis and any action taken in a designated repository. Ensure all applicants are tracked and all required information is gathered and retained in accordance with affirmative action and EEO regulations.
30% Serve as the primary point of contact for questions and needs related to faculty hiring, including compliance with affirmative action and EEO requirements and/or process for strategic faculty recruitment, hiring and onboarding. Identify search committee chairs and members for each approved faculty search and conduct introductory calls/meetings to establish connection with the Office of Faculty Affairs and share relevant information including overview of the strategic faculty recruitment model and resources available to support recruitment and onboarding efforts. Communicate updates and liaise with academic leadership, search committee chairs and members, human resource and fiscal partners, as well as other stakeholders throughout the strategic recruitment, hiring and onboarding processes for faculty. Partner closely with OHR Talent Acquisition to ensure a seamless experience for faculty talent throughout the recruitment, hiring and onboarding processes.
10% Perform other duties as assigned.
Required Qualifications:
Bachelor’s Degree. Minimum four (4) years of strategic recruitment experience or HR experience in an academic setting. Excellent communication skills, both written and verbal. Ability to build and maintain strong internal and external relationships. Demonstrated ability to address complex situations. Strong and consistent attention to detail. Ability to manage competing priorities and multiple projects simultaneously. Demonstrated experience with data management, including obtaining, reporting, and providing consultation related to the data.
Desired Qualifications:
Five (5) years of experience working in a complex environment, preferably in higher education. Knowledge of The Ohio State University.
