Job Summary
Reporting to the Chief People Officer (CPO), the HR administrative Manager will provide executive level support to the CPO and support the administrative needs of the HR department. The HR Administrative Manager will exercise professionalism and discretion, maintain confidentiality, and be able to multi-task with attention to detail in an extremely fast-paced and dynamic environment. This role is key to the efficient and smooth functioning of our HR department and will provide critical liaison functions within the team and throughout the organization.
Principal Duties and Responsibilities
· Manage a broad variety of administrative tasks for the Chief People Officer including calendaring, expense reporting, composing and preparing communications, arranging travel plans, itineraries, and agendas, and drafting and compiling documents for various meetings.
· Provide meeting preparation support to Chief People Officer including the creation of PowerPoint presentations and other materials for executive biweekly meetings, quarterly Nassau Business Reviews, recurring 1:1 agendas, and other company meetings.
· Support administrative needs of the HR department, including but not limited to meeting and calendar management, agenda preparation and action item follow-up, mail management, and presentation preparation.
· Support talent management with coordination and scheduling of onsite interviews, orientations, and other events such as training and career fairs.
· Manage Human Resources’ email inbox and related processes, while exercising discretion when working with employees and vendors.
· Manage HR budgets, purchase orders, and invoice processes.
· Assist in the administration of employee documentation within the HRIS UKG.
· Produce HR related reports and presentations for functional leaders, as needed.
· Coordinate workflow and act as a liaison between Human Resources and other administrative and executive assistants throughout organization.
· Assist in writing employee communications for the company intranet, email campaigns, or specific processes.
· Manage special ad hoc projects.
· Perform other duties as assigned.
Knowledge, Skills and Abilities
· Associate’s degree required, Bachelor’s degree strongly preferred.
· 3-5 years of experience in administrative support, Human Resources a plus
· Ability to handle sensitive, confidential information and demonstrated experience exercising discretion and maintaining confidentiality.
· Expert in Microsoft applications (Word, Excel, PowerPoint, Outlook)
· Experience in PeopleSoft & UKG Pro a plus
· Excellent organizational skills and attention to detail
· Excellent communication skills (oral and written)
· Strong customer service mind-set, skills, and ability to develop effective ongoing relationships with clients, peers, and colleagues
· Ability to maintain professional demeanor under pressure and effectively work with employees at all levels while maintaining a keen sense of urgency and commitment to providing exceptional service to the organization.
· Experience with budget management and invoicing preparation
· Ability to gather data, manipulate and create presentation materials
· Upbeat, can-do attitude with a willingness to jump in and do what is needed
· Comfort working in a fast-paced, highly entrepreneurial environment
