TITLE
Associate Director, Financial Aid Customer Service & Processing
JOB SUMMARY
The Associate Director of Financial Aid Customer Service and Processing is responsible for managing the day-to-day operations of the financial aid office through customer service experiences and the administration of financial aid programs. This position coordinates services and programs with other institutional offices to support enrollment management objectives at TWU. The position manages federal, state and institutional financial aid programs including maintaining awareness of changes in regulations which govern these programs and implementing new policies and procedures when needed. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies and Procedures.
ORGANIZATIONAL RELATIONSHIPS
Reports to: Executive Director, Financial Aid
Supervises:Assistant Director, Financial Aid Systems & Reporting and Assistant Director, Financial Aid Counseling & Processing
ESSENTIAL DUTIES –May include, but not limited to the following:
· Manages the day-to-day operations of the financial aid office including organizing and staffing for effective customer service experiences through the front counter, phones, email and public presentations.
· Manages the day-to-day administration of the various financial aid programs, including but not limited to, grants, work study and loan programs, from application through disbursement through planning, organizing and implementing work projects.
· Directs, guides and processes student applications, determining eligibility for awards, analyzes data associated with applications and disbursement, coordinating with other staff members and/or offices as necessary to ensure compliance with relevant policies and procedures.
· Supervises and evaluates the performance of assigned staff; interview and participate in selecting employees; train, counsel, mentor, discipline and terminate personnel according to established policies and procedures.
· Troubleshoots processing issues within the financial aid system.
· Consults with and advises administrators, faculty, staff and students regarding financial aid programs, policies and procedures.
· Formulates, implements, reviews and evaluates policies, procedures and processes to ensure departmental compliance with financial aid guidelines and objectives. Looks for opportunities to streamline and improve processes when able.
· Develops and maintains communications used to convey financial aid program and service information in accordance with federal consumer information laws, including publications and forms.
· Maintains up to date knowledge of trends in financial aid, regulations, policies and procedures.
· Serves as back up for various positions and functions related to awarding, processing and supervising within the financial aid function.
· Responsible for establishing job standards for subordinate staff and effectively evaluating staff under charge. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.
ADDITIONAL DUTIES
EDUCATION
Bachelor’s degree required. Master’s degree preferred.
EXPERIENCE
Minimum of 5 years of experience in a college or university student financial aid office required.
REQUIREMENT
Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

· Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
· Ability to provide administrative guidance within the areas of responsibility.
· Ability to apply budgetary and fiscal planning techniques within financial constraints.
· Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and procedures.
· Ability to integrate resources, policies and information for the determination of procedures, solutions and other outcomes.
· Ability to use a personal computer and other office equipment, including related university software and email.
