Update and maintain Degree Works with Scribe and Transit Programs. Scribes/and deactivates curriculum programs. Troubleshoots any issues with Degree Works student audit. Review and ensure that Degree Works reflects processed change of majors.
Responsible for the management of the online degree audit system. Coordinates with academic advisors and degree planners regarding degree and graduation requirements. Provides integral day-to-day operational support for the Registrar’s office and all day-to-day operations of the office to ensure the achievement of strategic goals and objectives for the department. Ensures outstanding customer service in the performance of their duties.
Responsibilities:
This position will be responsible for scribing, editing, and monitoring Degree Works. Will provide backup for Registrar functions and aid in Graduation procedures. Assumes responsibilities of University Registrar in her absence by providing supervision for daily operation and decision-making of Registrar’s Office functions. Expected to be fully trained and knowledgeable in all aspects of the Registrar’s job.
Under supervision, this position is responsible for scribing, editing, and monitoring Degree Works including the use of Transit and Controller to troubleshoot and maintain audits. Work within Banner to update Prerequisite information, TSI, restrictions, corequisites, repeatable course information, and the creation and updates to courses at the catalog and section level.
CourseLeaf – supporting and processing bridging of curriculum and catalog requests from departments.
Emails and Questions for [email protected] – Secondary.
Backup for Ad Astra – the scheduling of classroom assignments.
Backup for creating final exam schedule.
Degree Works: *maintaining updates and reports *University Catalog course updates * scribing updates Produces and distributes the Schedule of classes each semester including the collection and verification of schedule information from various departments.
ITS: * liaison for all DW upgrades and testing
Assists the University Registrar in developing, coordinating, and implementation of all registration activities including preparation for pre-registration, regular, late and off-campus registration.
Assists Registrar with dissemination of information to students, faculty and staff regarding university and other state mandated requirements.
Responsible for knowledge and interpretation of undergraduate and graduate degree requirements as stated in university catalog. Assists the University Registrar in ensuring accurate dissemination of this information to various faculty and staff, including Academic Advisors and Degree Planners.
Will implement and maintain the online degree audit system working directly with Degree Planning staff to ensure accuracy of the system between both departments.
Assists Registrar in the compilation of data for reporting for in-house reports. Serves as backup person to the Registrar for university reporting.
Attends off-campus recruitment and registration activities. Also, presents the Registrar’s Office information during the Student Orientation and Registration sessions.
Assists Registrar with long-range planning for Office Registration and Records.
Develops, revises, and maintains registration publications and operating forms, and assists the Registrar with ensuring Webpage accuracy.
Contributes to the effective team management of all relevant problems, issues and opportunities.
Provides computer and software technical assistance and support to all office staff. Acts as liaison with academic departments regarding support for SIS users.
Assist the University Registrar in the management of the Student Information System.
Assists faculty, staff and students daily with questions and problems as they arise.
Ability to interpret and make recommendations regarding rules and regulations.
Maintains and updates all training and function manuals for the office of Registration and Records.

May temporarily perform other duties assigned to maintain operations and services.
On occasion may supervise student workers and office assistants.
Required Education and Experience:
Bachelor’s degree.
Five (5) years of related experience in Admissions and Records, working in a post-secondary institution registrar’s office, and data collection and statistical reporting, including related supervisory experience.
Preferred Education and Experience:
Bachelor’s degree.
Three (3) years of computer experience (word processing and spreadsheets)
Two (2) years of experience in data collection and statistical reporting
Experience in a multi-task, fast-paced environment
Experience in a university Registrar’s Office
Experience with Banner student information systems
Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Knowledge of academic systems, standards, and practices.
Knowledge of Banner, FERPA, and the American Association of Collegiate Registrars and Admissions Offices (AACRAO) guidelines for transcript maintenance and production.
Knowledge in Scribe.
Ability to multitask and work cooperatively with others.
Must be detail oriented with the ability to work under extreme deadlines and contribute to team effort
Ability to communicate effectively with students, faculty, and staff
