POSITION SUMMARY:

The Office/Roofing Administrative Assistant works directly with the Vice President of Roofing Operations to assist with Training, Inventory, Purchasing, A/R, Sales and Project Management. This role promotes a professional and personable image to the public. This position is also responsible for running an efficient front desk in the Stewartville location, which includes various administrative and customer service related duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Facilitate weekly sales update meetings for Roofing PM Group, and assist with Quickbase updates as requested.
• Participate in regular company sales meetings and Roofing Group production meetings.
• Assist with training sessions in office as needed.
• Assist with inventory counts and controls at local level as required.

• Assist branch PMs and Superintendents with various items as needed including expense reports, credit card receipts, bids, ordering food, making hotel reservations, etc.

• Create and manage purchase orders for roofing group as required.
• Assist Accounting with solving any differences between vendor invoices and purchase orders and packing slips

• Responsible for assisting with AR collections for the local branch including making regular calls or sending emails to customers on payment status, documenting all conversations in Quickbase, notifying managers if any collection issues need to be addressed and running regular AR reports.
• Greet and assist all visitors.
• Receive all incoming shipments.
• Prepare and coordinate outgoing FedEx and UPS packages.
• Manage inventory of office supplies; maintain vendor relationships.
• Keep office areas clean, organized and stocked
• Manage cleaning and maintenance of office buildings with vendors and landlord
• Scan all invoices and packing slips and send to Accounting
• Assist Human Resources as required with applicant processing, status changes, employee reimbursement, IT issues, employee recognition, organization of company events, etc.
• Other duties as assigned.

JOB SPECIFICATION:

Education/Experience/ Requirements:

• Associate’s Degree or equivalent from two-year college or technical school; or at least one year related experience and/or training; or an equivalent combination of education and experience.

Knowledge, Skills, and Abilities:

• Highly customer service oriented. Excellent phone skills.
• Good written and oral communication skills.
• Strong attention to detail.
• Strong data entry skills
• Proficient with speed and accuracy in the use of a computer keyboard, including the 10-key by touch.
• Proficiency using MS Outlook, Word, and Excel.
• Demonstrated capability to interface and maintain effective relationships with all level of employees in a team-oriented environment.
• Other critical skills include planning & organizing; problem identification/resolution, multi-tasking, follow-through skills to bring tasks to closure in a timely manner, priority setting, and having a sense of urgency in accomplishing tasks in a timely manner.
