SUMMARY DEFINITION

Under the direction of the Dean, the Operations Manager will provide management of AMPD daily operations, including assisting in budget preparation, supervision of staff, oversight of contracts, event staffing, and laboratory safety/function protocols. The Operations Manager will also assist the Dean in meeting all reporting timelines and organization workflow/processes.

SUPERVISION RECEIVED AND EXERCISED

Receives general direction from the Dean of Arts, Media, Performance, and Design or the Vice President for Instruction’s designee.

Exercises functional and technical supervision over classified staff as assigned. Recruit, hire, train, onboard, and supervise event/performance staff and evaluate staff in positions related to event management and operations.

DISTINGUISHING CHARACTERISTICS

Serves as the supervising administrator for all daily operational needs of AMPD.

Assist the Dean in ensuring all safety regulations and processes are being maintained throughout the instructional labs.

Assist the Dean in the oversight of all events, performances, concerts, publications, media outlets, exhibitions, and other public-facing activities associated with AMPD.

REPRESENTATIVE DUTIES

The following duties and responsibilities are typical for this position. Incumbents may not perform all the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

Oversee the operational aspects of the School’s performance/event/exhibition staffing and support, including guest artist contracts, volunteers, and all temporary workers.

Manage daily operational aspects of School requisitions and expenditures.

Monitor event expenditures and income generating accounts.

Assist the Dean in the oversight of all media outlets that are housed in AMPD.

Schedule and monitor all laboratory technicians and other instructional support staff.

Monitor all staff safety trainings with direction from District Risk Management.

Manage use and work in partnership with the Facilities, Maintenance and Operations for rentals; review and recommend repairs and improvements of all equipment and facilities.

Oversee the coordination of the School event calendar with both production staff and performing arts operation specialists.

RELATIONSHIPS AND COMMUNICATION

Collaborates and communicates with other College departments and staff and community agencies to develop and implement effective AMPD events.

Plans and organizes a variety of meetings, workshops, conferences and special events.

Serves as a representative of the School at on and off-campus meetings; participates in presenting information during outreach activities.

Participates in appropriate student groups, community groups, and various college committees.

Creates a positive campus climate that fosters innovation in program and services development for AMPD; works with community, business, industry and other educational institutions to promote AMPD; contributes to the development and implementation of a coordinated outreach, marketing and public relations process and plan for AMPD programs and services.

Collaborates with staff in developing on and off-campus opportunities; delivers and evaluates operations, and activities; assesses future AMPD program needs and improvements.

Performs other duties as assigned that support the overall objective of the position and the District’s mission and philosophy.

MINIMUM QUALIFICATIONS

EDUCATION AND EXPERIENCE

Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Education:

Bachelor’s Degree or above from an accredited college or university. Earned bachelor’s degree in an Arts, Media, Performance, or Design discipline preferred.

Experience:

Three years of progressive leadership experience in one of the following: Arts educational leadership, production management, events operations experience, arts administration, or other related field.

Prepare a variety of complex and comprehensive reports, press releases, records and statistics.

Relate effectively to people of varied academic, cultural and socioeconomic background using tact, diplomacy and courtesy.

Select, train, supervise and evaluate seasonal, temporary and other assigned staff.

Effectively and collaboratively work in a complicated multi-college environment, as well as within a system of community college districts.

Work on multiple programs and activities simultaneously.

Work Environment

Standard office and athletic field setting. Typically, duties are performed in an office environment while sitting at a desk or computer workstation, performance arts setting, visual arts setting, performance or instructional lab facilities, or campus Student Services locations. The incumbent is subject to contact with constant interaction with others, frequent interruptions, noise from voices or office equipment and demanding legal timelines; often subject to attending performance/exhibit/programmatic events during evening and weekend hours.

Physical Demands

Incumbents regularly sit for long periods of time, walk short distances on a regular basis, travel to various locations to attend athletic events and supervise work of seasonal and part-time staff; use hands and fingers to operate an electronic keyboard or other office machines, reach with hands and arms, stoop or kneel or crouch to file, speak clearly and distinctly to answer telephones and to provide information; see to read fine print and operate computer; hear and understand voices over telephone and in person; and lift, carry, and/or move objects weighing up to 10 pounds. Incumbent will regularly drive a vehicle to conduct work; subject to adverse weather conditions.
