Position Summary:
We have an exciting opportunity to join our team as a Senior Contract Analyst.

In this role, the successful Senior Contract Analyst will be partnering closely with the legal and supply chain department, he/she ensures that all contracts and purchases are executed to NYUs standards.

Negotiates statements of work and contract terms for MCIT under the direction of their supervisor reviews and negotiates with the vendor on business and legal terms contracts

• Approves statements of work, quotes, ordering documents
• Negotiates and recommends terms for master agreements

Job Responsibilities:

• Partnering closely with the legal and supply chain department, he/she ensures that all contracts and purchases are executed to NYU’s standards.

• Negotiates statements of work and contract terms for MCI
• Under the direction of their supervisor reviews and negotiates with the vendor on business and legal terms contracts
• Approves statements of work, quotes, ordering documents
• Negotiates and recommends terms for master agreements
• Review all bids/or contracts for issues or inconsistencies and correct as required. Work with Legal department to draft and modify licensing and service contract terms and statements in accordance with NYULMC policies, customer specification & legal requirements
• Administers the contract management process under the direction of their supervisor.
  • Reviews incoming contract /SOW review requests for completeness and accuracy
    • Oversees the maintenance and integrity of all contract and statement /quotes files
    • Oversee the filing all final contracts and completes the meta (key word) data for each agreement filed
    • Works with MCIT finance to verify funding for proposed requests
    • Works with compliance unit of legal to ensure all BAAs are filed in MCIT files and also in compliance files
      • This includes BAA’s embedded in master agreements as well as the stand alone riders
      • Negotiates and recommends terms for non-standard BAAs
  • Oversees the implements the execution of signatures by vendor and internally for approved agreements
    • Corresponds with vendors to get signatures on approved agreements/SOWs
    • Keeps the intake status current
    • Informs requester of major status changes
    • For masters or amendments that require CIO approval prepares the sign off package and verifies the completeness and quality of the sign off package.
    • Files and distributes the countersigned agreements
      • Adds the key data to the Contract file for each agreement. This involves pulling information from the agreement such as the start and end date and other characteristics
  • Respond to requesters to help make the process smooth
  • Maintain the training material and certification process for requesters.
    • This includes updating the training material as the system and process evolve.
    • This includes reviewing and updating the process in conjuncture with supervisor
  • Negotiate changes to contractual terms with vendors as required
• With oversight by Senior Director, draft and modify licensing and service contract terms and statement in accordance with NYULMC polices, customer specifications and legal requirements
• Working with the MCIT and SCM sourcing team to identify and document how purchases are sourced and if the purchase needs additional sourcing before being purchased.
  • Develop scope of work which will be utilized as part of the technical & financial RFP generated for soliciting best in class technology
  • Prepare, maintain, and review sourcing files, reports and price lists.
  • Develop, assemble and provide sourcing management reports
  • Reviewing pending purchase req’s each day to resolve issues and address concerns from purchasing
  • Support purchase requisition entry process
  • Support the vendor evaluation/classification process
    • Coordinate feedback on active vendors
    • Provide input for vendor evaluations
    • Maintain the vendor evaluations and ensure the classification of vendors is accurate.
      • Categories include, not approved, approved, on-hold, preferred, preferred with preset pricing ( including punch-out where appropriate)
    • Supporting the vendor relationship meetings
  • Support the RFI/RFQ/RFP process and source selection
    • Validate that all the assumptions and requirement are being documented for the most accurate RFP ensuring that all technology and financial needs are being addressed as part of the RFP
    • Work with MCIT to ensure all RFP deadlines of NYU requirements/needs are meet with quality
    • Verify the compliance with RFQ/RFP requirements and on-time receipt of vendor communications
    • coordinate the evaluation criteria for selection
      • maintain confidential records of section committee, evaluation criteria, vendor submittals, reference check files etc
    • Coordinate sign off requirements for RFx processes
      • Work with engineering to document requirements
      • Work with bidders to address questions
    • Verifying the funding is in place before issuing RFQ or RFP
    • Finalize all negotiation terms, prices and technical requirement ensuring all requirements are met and the organization is fully protected in its final decision and selection process for review with Senior Director

Education and minimum qualifications:

• Minimum of college degree and a minimum of 4 years relevant work experience or equivalent combination.
• Ability to identify, research, and resolve problems as well as follow through on assignments with minimum direction.
• Ability to work in a fast-paced environment with demonstrated ability to successfully multi-task projects.
• Excellent written and verbal communication skills.

Minimum Qualifications:
To qualify you must have a BA/BS four year degree
4 years of preferred experience working in Healthcare, Customer Service, or Administration
Excellent Customer Service skills.
Ability to identify, research, and resolve problems as well as follow through on assignments with minimum direction.
Ability to work in a fast-paced environment with demonstrated ability to successfully multi-task projects.
Excellent written and verbal communication skills
