Work Type:
Locations: San Diego
Categories: Unit 7 – CSUEU – Clerical and Administrative Support Services, Administrative, Probationary, Full Time, Telecommute eligible (work onsite as scheduled and/or as requested and telecommute as scheduled)
Position Summary
The College Care Specialist in the College of Sciences plays a pivotal role in supporting the College Resource Manager and the Deans, serving as the primary contact for the College’s eight departments in matters related to faculty activities. This multifaceted position involves coordinating various aspects of procure-to-pay and managing internal and external communications, including faculty startup, travel, reimbursements, hiring, and tracking contract agreements.
Upon the selection of faculty members, the College Care Specialist takes charge of initiating the startup budget, tracking and reporting its utilization, and overseeing all procurement activities involving services, goods, consumables, and equipment required for the establishment of labs and research facilities. This also encompasses providing support to graduate students in their roles as academic and non-academic student employees. The College Care Specialist is responsible for leading the two College Care Coordinators, who assist in procurement, tracking, reporting, and scheduling tasks.
Direct coordination and communication with faculty members involved in upcoming, ongoing, or expiring startup award activities are integral to this role, with a focus on providing updates, stakeholder services, and ensuring a positive experience for faculty throughout the process.
During periods of reduced activity, such as off-peak times, the College Care Specialist will engage in similar duties related to non-start-up procurement activities and scheduling.
In this role, close collaboration with the Contract & Procurement Management teams in the Procure-to-Pay department of Business and Financial Affairs is essential to ensure that purchases made through Purchase Requisitions/Orders and Procurement Credit Cards are in compliance with established purchasing principles, practices, and procedures. The ability to quickly acquire new knowledge is also a valuable skill.
This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position. This position is designated exempt under FLSA and is not eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
This position is approved for partial telecommuting with onsite work in San Diego.
