Educational and Experience Requirement:
Bachelor’s Degree in related field. Five years relevant administrative assistant experience or related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position:
Provides complex professional support on budget, projects, programs, and administrative assignments for the Division of Facilities Management.
Primary Responsibilities:
Performs, coordinates, and oversees a wide variety of executive administrative assignments in support of the Vice President for Facilities and Operations Management. Assists the Vice President with establishing “Best Practices” for all areas of Facilities Management and working with each area to facilitate improvement. Administers the planning and coordination of complex projects where inefficiency may result either in financial loss or embarrassment to the project, the office, or the institution as a whole. Conducts research as may be required for preparation and dissemination of information relating to assigned duties. Exercises considerable judgment in the interpretation of policy and the application of procedures, techniques, or practices to assignments. Plans, coordinates, and follows through to completion the total process involved in the preparation of designated divisional and departmental budgeting. Processes all position and travel related documents for employees using the University’s Ellucian Banner and PeopleAdmin software. Coordinates the collection and input of Facilities Management information for the Annual Leadership in Educational Facilities, formally known as the Association of Physical Plant Administrators (APPA) Key Performance Indicators program. Produces reports for supervisors and managers. Performs budget related duties such as assisting with the annual request for budget changes, editing of changes for the next year’s budget, ensuring budget pools are not in deficit, and preparing budget changes when requested. Assures compliance with federal and state laws and university rules and regulations as they apply to areas of responsibility. Performs other related duties as assigned.

Ability to organize work effectively and prioritize objectives with a high level of independent judgment and initiative. Ability to integrate resources, policies, and information for the determination of procedures, solutions and other outcomes. Skilled in directing multiple tasks, setting priorities, and organizing operations. Must be a self-starter and able to function independently. Ability to establish and maintain effective working relationships with administration, faculty, staff and the public. Must exercise discretion and utilize strong reasoning and problem solving skills. Strong written and oral communication and math skills. A working knowledge of Sam Houston State University would be helpful.
