Africa World Initiative (AWI) seeks an experienced and committed professional to join its office. Reporting to the Assistant Director, this position will manage a Program Assistant, provide administrative leadership, including message-crafting for internal and external audiences, reconciliation of accounts and budget forecasting using University financial reporting systems, and assisting the Assistant Director with other department-wide responsibilities.
The wide variety of tasks will provide the Program Coordinator with a unique opportunity to positively impact a broad range of new programs and amplify the services offered by the African World Initiative (AWI).
Responsibilities
-Coordinate workshops, meetings, lectures, symposiums, networking receptions, conferences, forums, and other events.-Liaise with academicians, caterers, hotels, performers, and graphic designers.-Create and manage budgets.-Manage a busy events calendar.-Make key desicions regarding events’ budgets, selecting and hiring contractors, and events/program locations.-Partner with PAS, Princeton in Africa, PASA, and other Africa-related initiatives and programming on campus.
-Manage AWI internal and external communications and correspondences, web updates, social media platforms and publicity.-Represent AWI at events and conferences.
-Train and supervise the Program Assistant in all events planning phases.-Train and guide the Program Assistant in Princeton University’s processes in creating purchase orders, completing Concur reports, and reserving rooms for events.
Qualifications
ESSENTIAL
-Bachelor’s degree or equivalent work experience.
-Excellent organizational and interpersonal skills, as well as written and verbal communications skills.-Skilled at interacting seamlessly and with diplomacy and tact at all levels of the University and with outside stakeholders.-Ability to exercise independent judgment to plan and prioritize diverse workload, meet frequent deadlines, take initiative, and function autonomously.-Excellent data gathering and analysis skills, ability to creatively solve problems and formulate/implement process improvements.-Proficient in Microsoft Office products, especially Excel and Word. Excellent computational skills.
PREFERRED
-Ability to manage multiple priorities in a fast paced, changing environment.-Skilled at managing website updates and social media (Threads, Twitter, Instagram, Facebook, LinkedIn) platforms.-Knowledgeable about Africa and the Global South.-Must maintain discretion and strict confidentiality.
