ESSENTIAL DUTIES AND RESPONSIBILITIES: of the successful candidate for this position include but are not limited to the following:
A. Security:
1. Monitor/Review Video surveillance
Scheduled/intermittent review/monitor video of plant and access points: gate access, turnstiles, front parking and back parking lot.
Purpose is to ensure safety and security of personnel, plant and assets as well as to alert personnel proactively to prevent potential hazards, safety issues, breeches of security, etc.
Spot and report policy violations such as: opening gate without vehicle access, not using turnstile to enter/exit property, comparing entry/exit to clock in/out.
Identify any crime in progress; report for immediate action, or as recorded as evidence for police report. Call police (and management) as needed.
Review video from prior night and weekend
Minimum of one hour per day
Any anomalies to be reported to HR Manager or Generalist immediately.
If incident is within the accountability or responsibility of a particular manager or department, the time, date, camera views are to be saved and printed where appropriate to notify.
Video segment flagged, saved for review.
Monitor live for current day.
Immediately report any access violations or issues.
Intake and investigate issues presented by managers (develop and refine intake form).
Broken molds incidents; when, where, who.
Coordinate with manager on what views to print/save.
Produce snapshots of key moments capturing date/time/location data.
Identify, act upon, and resolve gate operation and access issues.
B. Reception:
1. Unlock/lock front door
2. Monitor front lobby activity, sign-in/out; keep the lobby camera view on screen.
3. Greet visitors, job applicants, vendors, postal delivery/pick-up, etc.
4. Notify proper individuals of arrival as required.
5. Monitor front entry inside and out, keep it presentable, arrange for cleaning as needed.
6. Arrange repairs to entry as needed (submit work orders, track and follow through)
7. Keep sign in/out area clean/tidy and label maker stocked with labels.
C. Badging:
1. Issue/activate employee I.D. badges for new hires.
2. Address badging issues, new sleeves, replacement lanyards, etc.
3. Maintain badging supply inventory
4. Do not allow any visitor (including job applicants) to enter without a badge.
D. Mail:
1. Provide access to US Postal Service
2. Open/Sort incoming mail
3. Proper labeling of mail slots
4. Delivery to recipients when needed.
HR Clerical Duties:
A. Filing:
1. Label all files.
2. Archive/store files following documented procedures.
3. Understand and uphold Document Retention Policy
4. Support HR team in filing activities and processes
B. Employment Processes:
1. Assist with New Hire paperwork, binders and Orientation.
2. Maintain supply of employment documents
3. Update documents as needed.
C. Payroll/Timecards:
1. Process Payroll, employee forms, status reports, and change forms.
2. Maintain attendance records and timecards for nonexempt and hourly employees.
D. Records Retention:
1. Understand and manage to the Records Retention Policy
2. Box up and prepare for archive to Recall
3. For often accessed items that should also be archived but nearby, file in designated storage.
QUALIFICATIONS:
1. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential tasks of this position.
2. Must be flexible and able to adjust to interruptions. Adaptable to changing priorities and concurrent assignments. Must be able to organize tasks and work independently.
3. Ability to communicate effectively in both English and Spanish preferred.
4. Experience and proficiency with modern office equipment. Computer experience with the ability to use Word, Excel, D-Base, Visibility, Label pro, Network scheduler and Interleaf would be beneficial.
5. Ability to be cross trained for other jobs in the department.
