Major Accountabilities:
Ability to manage multiple assignments with competing priorities in a fast-paced environment including:
• Responsible for complex operational assignments in a global, cross-divisional, and external facing context. Actively contributes to strategic-operational projects.
• Act as Subject Matter Expert (SME) for specific processes, systems/tools for the department.
• Advise on implementation and involved in user testing for new systems / tools and processes.
• Provide operational excellence within area of responsibility.
• Be the “go to” person to support Procure-2-Pay (P2P), Ariba Supplier Lifecycle Performance (SLP) and Master Data Governance-Suppliers (MDG-S) to provide basic training, open tickets to support CVM.
• Independently maintain and provide training for information channels. Be the “go-to” person for MS Teams, SharePoint, Confluence, Timecard reports, Novartis social media channels and other approved software / platforms. Support project teams to develop webpages based on SharePoint or Confluence or other platforms. Update, manage and maintain CVM SharePoint site including Organization Chart and CVM portfolio.
• Coordinate, collate, edit PowerPoint slides to support meetings – scientific and departmental, e.g., Town Hall, Research Board Meetings, Seminars, etc.
• Design departmental workshops / trainings.
• Provide general administrative support and work with Executive Administrative Assistant, plan and coordinate onsite and offsite events and meetings within a budget, including organizing internal and external global meetings, videos, and conference calls. This includes supporting CVM social, DE&I and culture activities.
• Obtain training to become a Persilog coordinator and support other NIBR Persilog coordinators. Manage Persilog for new hires and leavers.
• Monitor and capture travel within the department. Act as a resource for associates when they book travel or have questions regarding corporate cards and T&E policy.
• Act as project coordinator/manager for departmental projects (design, planning, implementation, communication, etc.)
• Operational support of department, such as internal work processes for hiring, on- and off-boarding. Coordinate with CVM EA to update the CVM Cambridge on-boarding process for new hires and off-boarding documentation.
• Support Electronic Notebook (ELN) compliance.
• Support inventory management for lab instrumentation, manage and participate in lab clean outs. Coordinate with facilities, IT and HSE to organize.
• Create a departmental communication process for distribution via emails and social media.
• Support the Pharmacology Council and Seminar series.
• Collaborate with Talent Acquisition to coordinate and schedule interviews and seminars for potential new hire candidates.
• Coordinate and schedule Invited Speakers and Consultants. Prepare and submit expense reports and monitor approval flows relating to travel and other expenses. Ensure Sunshine Act compliance and complete all necessary documentation for Cross Border forms.
• Order office supplies, including wireless mouse/keyboards, headsets, etc. and maintain office supply inventory for CVM.
The pay range for this position at commencement of employment is expected to be between $124,000 and $186,000/year; however, while salary ranges are effective from 1/1/23 through 12/31/23, fluctuations in the job market may necessitate adjustments to pay ranges during this period. Further, final pay determinations will depend on various factors, including, but not limited to geographical location, experience level, knowledge, skills and abilities. The total compensation package for this position may also include other elements, including a sign-on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.Minimum requirements
What you will bring to the role:
Education:
• B.S. or M.S. degree in a scientific discipline – cardiovascular, metabolism, in vivo pharmacology, biochemistry, or cellular pharmacology is preferred.
Experience:
• 4+ years of experience of highly successful work in a large matrixed company is preferred, working in a drug discovery environment a plus!
• Advanced knowledge of Word, Teams, Outlook, Excel, PowerPoint, and SharePoint
• Capable of learning financial systems, budget planning and management, expense reconciliation, vendor contract negotiations, and business data analysis
• Exceptional interpersonal skills and communication skills (both verbal and written).
• Must be self-motivated and proactive in anticipating needs and thinking beyond the guidelines provided.
• Curious and interested in learning about people, organizations, science, and processes
• Have a flexible nature, natural respect for all colleagues, and an eagerness to learn new processes.
• Ability to be resourceful and solve problems, offer solutions, and present alternatives.
• Excellent organizational and time management skills.
• Must display a team-oriented approach and be able to work independently.
• Demonstrate ability to prioritize and handle multiple tasks in a timely fashion.
• Handle confidential information and communication with all levels of management in a professional manner.
• Site attendance is required.
