About the role: Global Discovery Chemistry, working across 7 disease areas in BioMedical Research, is seeking an enthusiastic, highly engaged, innovative, and caring individual to provide executive-level, team-based administrative support for the Global Head of Chemistry, as well as extensive group and organizational support as part of our operations and administrative team. We are a dynamic, close-working team providing support for the scientists doing exciting research here at Biomedical Research headquarters in Cambridge, MA
Key Responsibilities:
The management of multiple assignments with competing priorities in a fast-paced environment, including:
• Extensive calendar management
• Scheduling and coordinating face-to-face or virtual meetings
• Preparing for, and attending leadership team meetings as needed, taking meeting minutes and distributing them in a timely manner, and keeping action items updated
• Preparing PowerPoint slides and communication letters
• Coordinating onsite and offsite meetings and events within a budget
• Administering SharePoint sites
• Managing various project support
• Processing approval workflows
• Coordinating and scheduling travel
• Preparing and submitting complex expense reports
• Handling confidential information and communication with all levels of management in a professional manner

Role Requirements
Essential Requirements:
• 5+ years of highly successful work as an administrative professional supporting executive level management
• Excellent administrative skills including thorough knowledge of standard office procedures and protocols, with the ability to prioritize and handle multiple tasks in a timely fashion.
• Proven experience handling confidential and sensitive information
• Advanced knowledge of Word, Outlook, Excel, PowerPoint, Microsoft Teams, and SharePoint
• A flexible nature, respect for all colleagues, and an eagerness to learn new things.
• Ability to be resourceful and solve problems, offer solutions, and present alternatives.
• Strong organizational, time management, and attention to detail skills.
• Exceptional interpersonal and communication skills (verbal and written).
• Self-motivated and proactive in anticipating needs and thinking beyond the guidelines provided. Someone who takes the initiative to get the task done
• A team-oriented approach.

Novartis Compensation and Benefit Summary: The pay range for this position at commencement of employment is expected to be between $69,300 to $103,900/year; however, while salary ranges are effective from 1/1/23 through 12/31/23, fluctuations in the job market may necessitate adjustments to pay ranges during this period. Further, final pay determinations will depend on various factors, including, but not limited to geographical location, experience level, knowledge, skills, and abilities. The total compensation package for this position may also include other elements, including a sign-on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
