Essential Job Duties:
Processing of Incoming Deposits/Receipts– The accountant is responsible for monitoring, reviewing, and approving incoming receipts via NCFS, Institutional Trust Fund account, and Peoplesoft (PS). The accountant monitors deposits for all Campus departments and other state institutions. Incoming transactions for state operating accounts are passed through the NCFS system. The accountant will initiate daily bank reports, analyze bank activities and verify transactions comply with the University process. The accountant will collaborate and communicate with campus and other central offices to notify of incoming deposits and determine the appropriate PS Chartfield to apply, record and reconcile data using PS sub-module AR.
Reconciliation of Payroll, Gift Clearing, and General Imprest Bank Accounts-This position updates the payroll reconciliation file with the monthly deposits to the State Payroll Disbursing Account and the manual checks drawn by the Payroll Office from the State Payroll Disbursing Account. This position resolves all of the error messages produced from the output of the reconciliation update and reports various discrepancies to the responsible payroll staff, State Treasurer personnel, and AIS personnel. The position follows up to verify that action has been taken to clear errors from the previous month. This position also reconciles the Gift Clearing account for the Development Office and reconciles the General Imprest Accounts. Communication between departments is needed to resolve reconciling items.
Pay cycle funding: Daily pay cycles are run for ACH and Check payments in accordance with state rules and guidelines. The accountant is responsible for the certification of funds from the University’s Endowment Account into the Trust account.On-Site Schedule: This position will be Hybrid with some remote work and one day per week of work in the office (Administrative Office Building).
