Essential Job Duties:
The Graduate Program Coordinator (GPC) provides direct administrative support for the Department of Chemistry Graduate Program. This position is the primary and first point-of-contact resource for student questions on all program policies, procedures and activities, including Graduate Student Support Plan eligibility and applications. This position serves as a resource for graduate students and faculty, liaises with the Graduate School, and manages all temporary personnel in the Graduate Office.
Duties also include:
• Processes admissions applications, recommendations and updates Department and University databases with application and admission information.
• Maintains files for all students and monitors the student’s progress toward degree completion, ensuring all necessary paperwork is completed by students and faculty in a timely fashion.
• Organizes student contracts, plans of work, committee constitution, examination performance, teaching assignments using “GradWatch” software, and schedules the room for student examinations.
• Prepares necessary documents for the Graduate School as well as prepares and enters graduate appointments into NextGen Graduate Appointment System.
• Monitors the flow of appointments and works with students and PIs to ensure all items are completed and approved.
• Coordinates and participates in graduate recruiting events at regional and national scientific meetings.
• Lead organizer of the Department’s Graduate Recruiting Weekend (organizing travel, lodging, entertainment and student/faculty interactions), and makes independent decisions regarding logistics and organization.
• Requires occasional overnight travel to attend graduate recruitment events and training related to the Graduate Program.
• Coordinates and sets up the refreshments for the departmental colloquium and other graduate special events.
• Works in conjunction with Undergraduate Program Coordinator for special departmental events including but not limited to graduation ceremonies (winter and spring) and annual picnics.
• Expected to participate in Graduate School meetings and required training.

Bachelor’s degree; or an equivalent combination of training and experience.
