Essential Job Duties:
The Administrative Assistant position serves as the principal administrative and individualized support to the MSE department head. Work ranges from office support assignments to performance of administrative duties involving decision-making and judgment.
This position maintains the department head’s calendar, locates and assembles information for various reports, briefings, and conferences, makes travel arrangements, processes reimbursements, and helps to plan and organize conferences, retreats, faculty meetings, and other events for the department. The candidate is expected to support the department head in organizing and uploading documents for faculty reviews as well as facultypromotion and tenure.
This position helps to establish priorities in response to work flow of the department head and prioritizes the department head’s needs regarding meetings, time-frames and deadlines, and recommends changes in workflow, procedures, or assignments to accommodate changing priorities. This position involves tracking and monitoring pending issues for follow-up and independently develops agenda for future meetings.
Public contact is a major component of the position, both internal and external to the organization. This includes handling travel logistics and schedules for department visitors including seminar speakers and faculty/staff candidates, and helping with visits for student recruiting.
