Job description

SUMMARY

Responsible for collection of overdue customer invoices, postage accounting, cash receipt processing and back up for Accounts Payable.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following prioritized and categorized duties with other duties as assigned.

Department Goals, Strategies, and Procedures

• Follows and supports department procedures and company policies
• Establishes personal goals to improve personal and department performance

Collection & Credit

• Make collection calls on past due invoices to customers as needed.
• Update collection notes in CRM system with most recent information.
• Run credit reports for prospective or current customers as needed
• Secure credit references for new customers.
• Prepare monthly aging report and reconcile to General Ledger (“GL”).
• Work with affiliates to assure month end AR balances agree and reconcile as needed

Postage Accounting

• Review postage reports regularly for funds to be refunded or reallocated.
• Assist in reconciling postage detail to GL at month end or as needed.
• Verify customer account balances and run customer postage reports as needed.
• Process daily postage cash receipts and disbursements thru ERP system.
• Provide training to customer service regarding our postage procedures.

Cash Receipts

• Enter and properly code cash receipts daily into ERP system including checks and EFT’s
• Monitor bank accounts daily for EFT’s to enter, code and post properly into ERP system
• Investigate cash receipt discrepancies working w/ others as necessary
• Daily deposits via on-line scanner or trip to bank

General Accounting

• Assist w/ monthly payroll bank reconciliations and GL closing as needed
• Assist with annual audit/review of accounting records.
• Assist w/ other Accounting/Finance Dept needs as requested, including AP backup.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); and five years related experience and/or training or equivalent combination of education and experience; familiarity with MS suite including Outlook, Excel and Word

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent w/ strong calculator proficiency.
