Summary
The Staff Accountant working in conjunction with Controller is responsible for maintaining
accurate financial accounting records and providing timely results. This role is responsible for
managing full-cycle accounting transactions including payables, receivables, cash management
and journal entries.
Essential Duties and Responsibilities
• Manage the accounts payable process to include full cycle responsibilities, such as new
vendor set-up, analyzing and processing invoices for timely payment ensuring proper
documentation; investigating discrepancies; creating weekly vendor checks; maintaining
positive pay files and reviewing exceptions; setting up ACH payments; and preparing
annual 1099s.
• Review and properly distribute accounts receivable invoices to customers, assisting
production manager and sales staff when questions arise.
• Review accounts receivable aging report and follow up with customers regarding past
due invoices.
• Create and distribute customer credit memos as requested.
• Prepare and record bank deposits and ACH payments received from customers.
• Anticipate and organize cash flow management.
• Prepare monthly bank reconciliations for all accounts.
• Prepare weekly, monthly and annual analysis schedules.
• Reconcile accounts payable and accounts receivable to the general ledger.
• Maintain accurate sales commission records for outside sales consultant.
• Maintain file organization of payables, receivables, fixed assets and other accounting
related documents.
• Perform general account analysis of various accounts such as cash, payroll, deferred
revenues, and prepaid expenses and prepare journal entries, as needed.
• Perform quarterly analysis of inventory and record adjustments to WIP, as needed.
• Prepare and record bi-weekly payroll journal entries.
• Assist in the preparation of government required payroll related reports.
• Administers and monitors corporate credit card purchases and employee expense
reimbursements.
• Compile monthly financial statements for review.
• Maintain accounting aspects of the ERP system which may include new vendor set up,
chart of accounts, Profit and Loss and Balance Sheet structure.
• Proactively seek on-going improvements and efficiencies in all activities, focusing on
reducing costs and improving efficiency.
• Assist in any other business support initiatives as requested.

Education and/or Experience
• Bachelor’s degree in accounting or finance or equivalent educational level; two to four
years of general accounting experience.
Language Skills
• Ability to read, analyze, and interpret financial reports, commission reports and
accounting laws and regulations. Ability to write reports and business correspondence.
Ability to effectively present information to top management.
Mathematical Skills
• Ability to calculate figures and amounts such as discounts, interest, commissions,
proportions, and percentages. Ability to apply concepts of basic algebra.
