Job Title: Administrative Assistant to Student Health & Wellness CenterReports To: Director of Counseling ServicesStatus: Full-time, Non-Exempt General Description
Provides comprehensive administrative support to Counseling Services and to the Student Wellness Center offices as needed. Performs various administrative tasks, ensuring smooth communication and coordination within the office, and assisting students and staff with their inquiries and needs.
Primary Duties and Responsibilities
Administrative support, including maintaining and updating student records, ensuring confidentiality and accuracy in the electronic health record. Prepares and distributes documents, reports, and correspondence as needed. Assists in the preparation of events, presentations, and workshops. Organizational tasks including ordering and maintaining office supplies and inventory; Communication and reception support, including greeting and assisting students, faculty, staff, and visitors in a professional and friendly manner. Maintain professional correspondence, including answering incoming calls, responding to inquiries, providing accurate information or directing calls to appropriate staff members.Respond to emails, voicemails, fax, and traditional mail promptly and professionally;Maintain office calendars, schedule appointments, and manage meeting logistics;Provide daily support to the Counseling Office and as-needed support to additional Wellness Offices, including managing budget lines, inputting work order requests, IT tickets, room reservations, and managing databases;Assist in the oversight of undergraduate work-study students;Maintain confidentiality and handle sensitive information appropriately. Adhere to all FERPA, NY State, Federal and College regulations and policies regarding confidentiality and other relevant areas;Perform other duties as assigned. Requirements
High school diploma or equivalent requiredExcellent written and verbal communication skillsProficiency with Microsoft Office Suite and other relevant software applicationsStrong organizational and time management abilitiesAbility to multitask and prioritize projects efficiently Ability to maintain confidentiality and handle sensitive informationCustomer service-oriented mindsetProblem solving skills and flexibilityAble to support and contribute to a team and work with a variety of professionals in a higher education setting
