We are looking for a Administrative Supervisor in 3688 Kinsman BLVD, Madison, WI 53704 USA. Your mission will be to:
Purpose (Objective): The incumbent is responsible for effectively maintaining and supervising the administrative functions for the laboratory. This position interacts with various personnel throughout the laboratory to coordinate tasks such as filing, managing quality requirements, typing reports, and answering phones.
Main activities:
* Perform administrative duties, such as, producing word processing documents generating reports, entering data on the Laboratory Information Management System for client reports, filing documentation and mailing
* Supervise the daily activities of other administrative staff to ensure that tasks are completed in a timely fashion
* Provide back up supervisory support for the Client Service Department to ensure uninterrupted services to the client
* Provide coordination of the orientation process for the laboratory by working with the laboratory leaders to ensure employees are fully oriented to Merieux NutriSciences and provide documentation necessary to verify that orientation has been completed
* Answer incoming calls and direct to the appropriate personnel as necessary
* Perform tasks and maintain systems that support Client Service and ensure that client is serviced in a timely and effective manner
* Maintain petty cash accounts and process invoices to ensure appropriate and prudent financial management for the laboratory and generate reports necessary to provide updated information to laboratory management
* Ensure the accurate maintenance of payroll processing for the laboratory by collecting timecards and tracking non-work days of personnel and communicating necessary information to Payroll or employees to ensure processes are followed according to procedures
* Coordinate the ordering of office supplies and supplies necessary in the maintenance of office equipment and coordinate any building maintenance to ensure operations are uninterrupted
* Maintain knowledge of Laboratory Information Management System (LIMS) that is required to complete job responsibilities
* Ensure that employees obtain knowledge of LIMS sufficient to perform job responsibilities. Institute and maintain systems to monitor and verify related LIMS training.
* Work with Human Resources to ensure proper documentation of all workmen’s compensation claims
* The incumbent may at times have responsibilities for processing laboratory sample and producing associated report
* Take responsibility to ensure completion of ISO required training and maintain organized records that document training for quality audit purposes
* Provide training to employees as needed, and provide documentation to verify training performed
* This position has the responsibility and authority to identify departures from the quality system or test procedures and document such observations in accordance with the prescribed complaint system
* Support corporate quality and continuous improvement process
* Perform other duties as needed
Communication:
Internal Interlocutors: The incumbent has frequent contact with laboratory personnel and management to complete necessary assigned tasks. Regular contact with the corporate personnel is necessary to complete assigned tasks and respond to questions and problems, such as payroll and financial matters.
External Interlocutors: Frequent contact with clients may be necessary in the process of answering phones, verifying information and responding to various client requests.
YOUR PROFILE
Knowledge: A broad knowledge of administrative support systems is required to effectively supervise assigned functions. A broad knowledge of word processing and report writing is required to produce reports and necessary documents.
Profile (required education/qualifications and professional background): A general science background is helpful in the creation of reports and communication with the client. A general knowledge of the Laboratory Information Management System is required to process client data. Basic accounting knowledge is needed to reconcile financial matters. Client relations skills are necessary to receive phone calls and effectively answer questions.
Required skills: Time management skills are essential to organize office tasks. Supervisory skills are necessary to direct the activities of other personnel and to ensure proper and efficient daily operation of assigned tasks. Good written and verbal communication skills are necessary to provide information to employees.
Management (Size and characteristics of the team(s)): Supervise the activities of departmental personnel to ensure operations are in accordance with Standard Operating Procedures and assigned tasks.
Work Environment: The incumbent works in an environment with proper lighting and temperature controls. Occasional lifting of heavy boxes of paper, packages to be mailed, and equipment supplies weighing up to 30 pounds is necessary to perform related responsibilities. Physical dexterity is necessary to effectively manipulate a keyboard. The incumbent can expect extended time spent in a sitting position. On occasion the incumbent may work in a laboratory environment that requires the wearing of a mask, laboratory coat, and insulated gloves.
